Are Your Line of Business Apps Exposing Your Company to Risks?

Modern companies rely on a variety of tools to enhance employee productivity in today’s distributed and digital world – but what happens when these business applications required for work can open your company and employees up to serious risk???

File sharing is an inherent part of workplace processes, allowing employees across the world to collaborate, store documents, and ensure visibility. Some would say it is near impossible to be effective without some aspect of file sharing, but the way it has traditionally been built through in-line file viewers, or requiring the user to download the file has been ineffective and risky for everyone involved.??

Here are a few examples:??

  • Mark is interviewing Tim for an open position, he receives Tim’s resume through HR software, but the software’s in-line viewer converts the resume incorrectly, resulting in the resume appearing poorly put together, and words out of order. Tim was the perfect candidate, but Mark dismissed him because his resume looked so messy.??
  • Leigh works on the support team at a technology company. Through the chat function a ‘customer’ sends her a document showing their issue. Due to a faulty in-line viewer, Leigh cannot see that the document contains malware, so she downloads the document, opening up her company to cybercrime.??
  • Erwin, Jeff, and Carla, located in California, are interviewing prospective employee Kendall, they each download the resume to their desktop. Kendall decides they no longer want to apply and enforce their privacy rights for their resume to be deleted. Kendall’s resume is deleted from the HR software, but Erwin, Jeff, and Carla all have versions on their desktops. This is a violation of Kendall’s rights and could result in a lawsuit if pursued.??

My #qualcomm colleague Kevin Andresen talks with Robert Smallwood on the IG Talk podcast in more detail about the difficulties of implementing a high-fidelity, in-line file viewer in modern digital solutions, and the solutions to examples like the ones above. He and Robert dive deep to detail common information governance issues that occur when sharing documents remotely.??

Privacy, cybersecurity, records management, and eDiscovery issues are all on the table in this informational discussion.??

And, of course, no discussion around file sharing and in-line viewing is complete without mention of?@Qualcomm? DirectOffice? and how it can help solve some of the challenges covered. I’ll be posting more about these challenges and how to solve them on LinkedIn, so please give me a follow if this is something you are interested in.
