Are You Micromanaging Instead of Delegating?

Do you find yourself constantly redoing tasks your team completes because they aren’t done exactly your way? Trust me, I’ve been there. I used to think that if I didn’t have my hands in every little detail, everything would fall apart. Spoiler alert: I was wrong, and it’s exhausting.

For a long time, delegation was a real challenge for me. I’d assign a task but couldn’t resist the urge to oversee every little detail. It wasn’t that I didn’t trust my team. In reality, I thought my way was the only way to get things done, and I was afraid something might fall through the cracks if I didn’t control every step.

If you’re nodding your head right now, you might be micromanaging without even realizing it. Micromanagement is one of those leadership mistakes that no amount of technology or AI can fix. And honestly, it’s easy to do, especially if you care about the quality of work. But here’s the truth: micromanaging not only stresses you out but also holds your team back from growing and developing their skills. It keeps you stuck in the details while preventing your team from taking ownership and responsibility.

So how can you tell if you're micromanaging, and more importantly, what can you do about it?

Signs You’re Micromanaging:

  • You’re Always Hovering If you're constantly checking in on tasks, asking for updates way before deadlines, or sitting in on meetings you don’t need to be in, you might be micromanaging. The minute you’re more involved in the "how" than the "what," it's a red flag.
  • You’re Redoing Completed Work Do you find yourself tweaking or redoing work someone else has finished? If so, this is an indicator that you're not trusting your team to get the job done. You’re caught up in the details instead of focusing on the big picture.
  • You Feel Overwhelmed with Tasks If your to-do list is constantly overflowing, despite having a capable team, it's likely because you’re taking on too much. This is usually a sign that you’re not delegating enough and feel the need to handle everything yourself.

My Personal Struggle with Delegation

I remember when I first started leading projects, I wanted everything to be perfect. I’d delegate tasks but then find myself checking in way too often, or worse, stepping in to fix things at the last minute. It wasn’t sustainable, and my team started feeling frustrated because they didn’t have the space to do their jobs fully.

The turning point came when a team member told me they felt like I didn’t trust them. That hit hard, because it wasn't true. I had to learn that by holding on too tightly, I was not only overwhelming myself, but I was also limiting my team’s potential.

Now, I'm better with delegation. It's a key leadership skill that can be learned. I trust my team to deliver, and as a result, they’ve grown, and so have I. I still give guidance, but I’ve learned to step back and focus on bigger priorities.

Tips to Delegate Effectively:

  • Start Small, Build Trust Delegating doesn’t have to be all or nothing. Start by assigning small tasks and gradually increase responsibility as your trust in the person's capabilities grows. It’s okay to give guidance upfront but step back once they get started.
  • Set Clear Expectations One reason we micromanage is that we haven’t communicated what we expect. Be clear about the outcome you want but give them the freedom to figure out the best way to get there. Let go of the need to control every step.
  • Let Them Own the Process Encourage your team to take ownership. Ask them how they’d like to approach the task and be open to their ideas, even if it’s not exactly how you would do it. This is how they grow. And, it frees up your time for other work.
