"If you knew time as well as I do, you wouldn't talk about wasting it." The Mad Hatter

I can't help but think of AI advancement like Alice's adventure in Wonderland. It's a wild, unexpected journey where anything can happen. In both scenarios, there's a sense of wonder and unpredictability, with each turn bringing new, often surprising developments.

In this week's edition, we will explore the first steps to get started if you are feeling overwhelmed, highlight news, and recommend influential individuals to follow. We are happy to feature a guest contribution from Mafalda Johannsen . Mafalda, shares her exceptional time management skills and insights on effectively balancing a demanding schedule with AI.

In 2023 10,000 new AI tools were launched to improve your life, but we can't even begin to implement that many tools. We need to be smart. So here are some tips on where to get started if you are feeling overwhelmed.

  • Upgrade to ChatGPT4. If you are still on 3 come join us in the future??. No, seriously it is the best decision you could make today. Read why here!

  • Targeted Efficiency: Pinpoint where inefficiency lies and how AI can specifically address these issues.
  • Innovative Solutions: Consider using AI for fresh perspectives on challenging problems.
  • Take a short course. Check out Jake Dunlap 's course Increase Sales with ChatGPT . I cannot stress enough the importance of not placing AI over processes that do not work. It will only cause you and your team more stress, so think smart and take some time here.

ChatGPT launched the GPTs model store: You need to be on ChatGPT 4 (another reason to join) to access it. GPTs are custom versions of ChatGPT that you can create for a specific purpose; to be more helpful in your daily life, at work, or home. You can then share that creation with others.

For Sales, they are amazing for in-house training, personal coaching, and customer support. I built custom GPTs to train on Personas. I'm eagerly awaiting voice control to build custom cold call training. The implications for onboarding are ??

Handing over now to the awesome Mafalda Johannsen ...

AI is a Girl’s Best Friend

Hi, I’m Mafalda (not the cartoon!). I lead three departments (Business Development, Marketing, and Customer Success), have two podcasts , post on three LinkedIn profiles daily, write two comic strips per week, handle sales calls, organize partnerships, take care of all company’s communications, write ebooks, customer stories and sequences, build training programs for employees and customers, organize offsites, recruit, onboard, and, on my free time, I’m the Marketing Manager for a jazz band called “Plasticine ” and I’m writing a sales book in Portuguese. All of this without doing (almost no) overtime.

By now, you must be saying “Yeah, sure.”

And I would reply: “Yeah, sure thing!”

There are three main reasons why I can execute so many tasks in a short amount of time:

  1. I work from home, minimizing distractions.
  2. I rigorously use and follow my calendar.
  3. I treat AI as an assistant that I couldn't afford to hire.

While I could elaborate on the first two points, today I'll specifically discuss how I make the most of AI for my own advantage:

  1. Descriptions of the Podcasts: I use the tool “Descript ” to transcript the content of each episode and then I ask ChatGPT to summarize it in 60 words. But here's the thing - I don't actually use that summary! Instead, I put it into my own words, using my thoughts and style. Just a reminder, AI is here to help you, not take over your role.
  2. Accelerate the Learning Process: When getting ready for a sales call, I rely on ChatGPT to help me understand my prospect's industry and the challenges they might face in their role. If there are industry-specific or technical terms that I'm unfamiliar with, I also use ChatGPT to explain them to me. Once again, AI significantly cuts down the time I spend on research and learning, freeing up time for other tasks.
  3. Follow-Up Process on Sales Calls: Every time I talk to a customer or potential customer, our AI tool called "Wonderway COACH " sends me an email. In that email, it gives me a quick summary of the call and lists the actions as well. This saves me a lot of time because I don't have to go through the entire call again, write an email, and worry about forgetting something. Thanks to this, following up only takes me 2 minutes instead of the usual half an hour.
  4. Coaching and One-o-ones: I use Wonderway COACH to get feedback and insights on the calls my team makes. This helps a lot in our one-on-one meetings because I know exactly where they need to improve, making our discussions much more helpful and focused.
  5. LinkedIn Content: Once again, I’m the one writing all the LinkedIn posts. But when I'm dealing with writer’s block, ChatGPT is really helpful. I can ask it for suggestions, have it rephrase a sentence if I'm not feeling creative, find synonyms for certain words, or make my writing more concise. It's like a useful assistant reviewing my content.
  6. Onboarding New Employees: I also leverage our LMS to help new hires get started. Instead of repeating presentations, they use the platform to learn and apply the content, and I only need to review their assessments and have check-ins to answer their questions and provide additional support. Most of the work is handled by the technology, making the onboarding process more efficient.
  7. Ebooks, Customer Stories, and Press Releases: I rely on ChatGPT to help me organize my thoughts when I have to write something new. For example, when I had to write a customer story for the first time, I asked AI to give me a template I could use. I do the same for ebooks, press releases, and other types of communication. It's important to note that AI doesn't write the content for me, but having a ready-made structure to follow makes the writing process much easier and faster, especially when it’s the first time you write that sort of content.
  8. Proofreading: While I'm proficient in English, it's not my first language. When creating content, I consult ChatGPT to catch any mistakes or unclear sentences in English. Additionally, I make use of Grammarly for every piece of text I compose.
  9. Quizzes: When creating training for my team, I no longer have to create quizzes from scratch. I simply request ChatGPT to do it for me. All I have to do is provide the training content, specify the number of questions, and indicate the number of correct and incorrect answers needed.
  10. Design: I'm not good at design at all - like, really bad! So, I use Canva . In just seconds, I can create a design without even having to think about it. Of course, this doesn't apply to company-branded content; we have a design team for that. But for every individual LinkedIn post or slide deck I require, I can't always ask them to do it. So, I have no option but to create them on my own.

Quoting Marilyn Monroe:

“There may come a time

When a hard-boiled employer

Thinks you're awful nice

But get that ice or else no dice”

Whether that “ice” is AI or diamonds, I strongly suggest taking some time to explore which tasks you can automate with AI and find ways to lighten your workload. Or get some diamonds. Whatever works best for you.
