It consists of four parts, Explicit, Obvious, Crisp and Clear cut
Explicit – It should be a bull’s eye or a bingo, no beating around the bush, to the point text
Obvious – No here and there words or sentences, should not be this way or that way, the same should have valid data or conclusive references.
Crisp – No unnecessary or futile information to be share, only what you want to communicate should be mentioned.
Clear cut – Easy to grasp, without any misleading information.
You need to follow simple steps to create the content for a written communication
1. First, you will have to collect researched information or data from a reliable source, consulting with the hierarchy in the company and keep all this handy.
2. Next is that you will have to restructure and collate the data and information you have with you. After this you will have to think of the beginning and the end of the document with limited paragraphs along with the important idea behind them.
3. Start placing your information in the desired paragraphs and check again if you need more information for this document.
4. Last but not the least, Editing, now you must become a copy writer, a proof reader.
Take out all the grammatical mistakes, read your document multiple times or take help of your able and capable counterparts or your best half. Revision is the key.
Voila, you are ready with your document.
