Why never seem to have enough time?

DEAR COACH
It has recently become a difficult ordeal for me to manage the
piling workload that I have. I do not get enough rest or sleep.
I find myself not being able to complete the daily tasks in the
stipulated time, and have been given a sound warning for my work
performance. To be honest, I feel that I am very stretched and have
to work until late at night to complete my reports. Are there any
techniques that you can suggest that will help solve this?

Time is finite, so you need to choose carefully what you want to do with your time. Do you prioritize tasks to focus on the big-picture? Or do you put out fires, but never make progress on your goals? Without efficient time management, you end up spending most of your time on things that don't get you the results that you want.

DECONSTRUCT TO CONSTRUCT

To better understand how the Pareto Principle applies to you, it?s helpful to begin by identifying which areas of your workflow are unbalanced.

Before you begin any task, ask yourself if this is the most important thing for you to do right now.

  1. Is someone else able to do it?
  2. How could you maximize your efforts?
  3. Could you work on something else that would contribute just as much or even more to the team?
  4. What?s the most impactful thing you can do?

Identifying these “productivity gaps” will allow you to address what doesn’t work and double down on what does.

You may also use the Eisenhower Decision Matrix to leverage the 80/20 rule and create great results without eating up a good deal of your time.

Get the most out of your day by identifying your most impactful tasks, and then setting a goal to complete an amount of those tasks that will make a difference.

You can use the 80/20 rule to prioritize tasks. Doing so will help you create more impact for the day by identifying which tasks have the most impact on your team.

The idea is to start by making small changes. You don’t have to climb the whole staircase at once, just take the first step.
