Why an Exit Process is Important

TLDR; Last week, I posted how the exit process is really important, and I was about to share my worst experience so far, read and decide yourself, if you are an HR please share how it would have handled.
1. My last day in Deutsche Bank was 24th Jan, But I received the salary for the entire Jan month on 24th, the reason being the salary at the bank is credited on 25th and it was Saturday, so received a day before.
2. As soon as I received the salary, I called my manager and informed him, that something is wrong I should not receive the salary, that too for the entire month. And when I will receive my Service Certificate.
3. My manager informed HR on the same day(24th Jan). HR responds, saying thank you and says, we will get it sorted soon, I asked him the amount which I need to pay, so it can be closed ASAP.
4. After not getting any response for 2 weeks, I dropped a mail again to HR, his response was, you may have already received it.
5. But to my surprise, the offboarding team sends me a mail, saying, as I have received an extra salary, I cannot get the service certificate (I never wanted it, a lapse in the process from Bank), and the biggest surprise, the HR responsible informed about my last day to offboarding team on 24th Jan.
6. When I asked the HR, how is this possible, he had no answer.
7. To inform all of you, my joining with the new organization was 3rd Feb, and I still don't have Service Certificate, I begged them, that I need to submit it to my employer, but the response was, you can share the resignation acceptance mail.
8. I decided to send an email to the offboarding team, explaining how this is an issue from Deutsche Bank, and should not suffer, because someone else made the mistake. And the response was, we are working on it, it was already 12th Feb.
9. The next day, I received an email saying I need to pay XXX amount back, which I was ready to pay on 24th Jan. I made the payment, they had no option to pay it online, I asked my friend to create a DD and send it to them, as I was out of town. But I knew the amount was not correct.
10. 17th Feb, Finally after more than 20 days, I received by Service Certificate, and you can decide, due to whose fault.
11. Today, I asked them to share the IT computation statement, and guess what, the documents which I had submitted for Income Tax, were not considered, and that's why during Full and Final settlement, I had to pay an extra amount to them.
So what was wrong, how it could have been avoided, I will go first
- As this was an issue from the bank's side, and I was the one who informed them, they should have been more co-operative.
- In all my previous organizations, we had an HRMS system, where we had to raise a separation request, a similar system, would have been really helpful, rather than communicating it on mail. Yes in the bank, there is no system, you need to drop an email to your reporting manager and he will send it to HR.
But in the entire process what was my fault, why I had to suffer. To me, the entire process(sorry doesn't sound like process), took a toll on me financially and emotionally. I am thankful to my new employer and my HR John, who supported me from the time, I informed them about this lapse in the process from Bank. And I had a smooth joining process.
