Why ERP fails in Bangladesh

Why ERP fails in Bangladesh

Enterprise Resource Planning (ERP) systems are powerful tools that can drive efficiency, improve decision-making, and streamline operations within an organization. However, in Bangladesh, many organizations face significant challenges when implementing ERP systems. These challenges often stem from unstructured business processes, inadequate documentation systems, and the absence of proper policies or Standard Operating Procedures (SOPs). Without addressing these foundational issues, ERP implementations are likely to fall short of their potential.

Key Challenges in ERP Implementation

1. Unstructured Business Processes

? The Issue: Many organizations in Bangladesh operate with informal, ad-hoc processes that lack standardization. This inconsistency can make it difficult for an ERP system to integrate and automate these processes effectively. Without a clear, structured process in place, the ERP system may struggle to align with the organization’s operations, leading to inefficiencies and frustration among users.

? Mitigation: Before implementing an ERP system, it is crucial to conduct a thorough business process re-engineering (BPR). This involves mapping out existing processes, identifying inefficiencies, and restructuring them to create standardized, streamlined workflows. Engaging business process consultants during this phase can provide valuable insights and ensure that the processes are optimized for ERP integration.

2. Inadequate Documentation Systems

? The Issue: Documentation is the backbone of any successful ERP implementation. However, many organizations in Bangladesh have underdeveloped or poorly maintained documentation systems. This lack of structured documentation can lead to data inconsistencies, errors, and delays during the ERP implementation process.

? Mitigation: Organizations should invest time in building a robust documentation system before embarking on an ERP project. This includes creating detailed process maps, maintaining accurate records, and ensuring that all relevant data is properly documented and easily accessible. Training employees on the importance of documentation and establishing clear protocols can also help maintain consistency and accuracy.

3. Absence of Proper Policies or SOPs

? The Issue: A significant number of organizations in Bangladesh lack well-defined policies and SOPs, which are essential for guiding employees through standardized procedures. Without these guidelines, it becomes challenging to ensure that everyone in the organization is on the same page during and after the ERP implementation.

? Mitigation: Developing comprehensive policies and SOPs should be a priority before implementing an ERP system. These documents should clearly outline the roles, responsibilities, and procedures for each business process. Additionally, organizations should establish a governance framework to ensure that these policies are regularly reviewed and updated as needed.

Additional Mitigation Strategies

Stakeholder Engagement and Change Management

? The Issue: ERP implementations often fail due to resistance from employees who are not adequately prepared for the changes that come with new systems. This resistance can stem from a lack of understanding, fear of job displacement, or simply the discomfort of change.

? Mitigation: Effective change management is critical to the success of an ERP implementation. Organizations should engage stakeholders early in the process, communicate the benefits of the ERP system, and provide comprehensive training to ensure that employees are comfortable and competent in using the new system. Creating a sense of ownership and involvement among employees can also reduce resistance and foster a smoother transition.

Pilot Testing and Phased Implementation

? The Issue: Implementing an ERP system across an entire organization all at once can be overwhelming and risky, especially if underlying issues like unstructured processes and poor documentation are not fully resolved.

? Mitigation: To mitigate these risks, organizations should consider conducting pilot tests in smaller, less complex departments or units before rolling out the ERP system company-wide. This phased approach allows the organization to identify and address any issues on a smaller scale, making adjustments before a full-scale implementation. It also provides an opportunity to refine processes, documentation, and training methods.

Continuous Monitoring and Improvement

? The Issue: Even after a successful ERP implementation, organizations may encounter issues if they do not continuously monitor and improve their processes and systems.

? Mitigation: Establishing a post-implementation review process can help organizations identify areas where the ERP system is not performing as expected. Regular audits, feedback from users, and performance metrics should be used to guide continuous improvements. Additionally, having a dedicated team to oversee ERP management and updates can ensure that the system evolves with the organization’s needs.

Conclusion

ERP implementation in Bangladesh presents unique challenges due to unstructured business processes, inadequate documentation systems, and the absence of proper policies or SOPs. However, these challenges are not insurmountable. By taking proactive steps to optimize processes, build robust documentation, and establish clear policies before implementation, organizations can set the stage for a successful ERP rollout.

Moreover, engaging stakeholders, employing change management strategies, and adopting a phased approach to implementation can further mitigate risks and enhance the chances of success. With careful planning and execution, ERP systems can transform operations, driving efficiency, and supporting sustainable growth in Bangladeshi organizations.

I do agree with you Sir, one more point is the cost of Ownership and implementation, a SAAS based modular ERP can be alternate for small and medium enterprises

Good day sir, I believe, "failure of an ERP" is an umbrella phrase, It consists of -Failure of ERP as a software and -Failure to implement the ERP system. The article obviously highlights the implementation challenges which are all true to the core, But before considering implementation challenges we should scrutinize the ERP itself. I have a contrarian perspective, for me the questions are, Is the system Robust and flexible enough to accomodate all sorts of business requirements with the evolution of the business. Are there enough key resource personnel who can bridge the gap between IT & Business and translate the requirements from one end to another? If you build the ERP with the right process in mind, during implementation user has to adapt to the processes defined in ERP. But if the ERP is changed every now and then by devs due to its lack of business maturity, then the users see the ERP system as some sort of moldable form and starts pushing the IT team to make the system into an old version of a system that business users previously used. ERP system fundamentally should be architectured with business processes and scalability in mind which will create user trust in the system, and help have high adaption rate.
