What’s the Secret to Optimizing Your SAP System? A Tale of Two Very Similar CTOs Reveals the Answer…

On a beautiful spring afternoon, twenty-five years ago, two young men graduated from the same university…

They were very much alike…

Both had better than average grades...

Both were liked by those around them…

And both wanted to make the most out of the next 40 years, to have high paying and engaging careers in IT, they were full of optimism…

Recently, these two young men (now 25 years older) bumped into each other in their home town, and they decided to catch up over a coffee...

And when they did, they realized they were still very much alike!

It was uncanny...

Both were happily married…

Both had three children…

And both, it turned out, had become employed by different firms using SAP as their enterprise software of choice for managing their respective businesses.

Over several years they both took SAP training and became recognized experts within their own organizations, and eventually, as their careers progressed, were both promoted to the role of CTO.

Within their own organizations, both faced the daunting task of strategizing, managing and optimizing a large and continuously evolving enterprise SAP footprint.?Given the complexity of the software, different versions, releases, modules, functionality, custom versus standard code, the number of users, mergers and acquisitions, divestitures, new lines of business, new product lines; governance, compliance and reporting, uncertainty, risk and chaos; and unsure of the documentation behind the growth of their respective systems over time, a difficult job was made even more difficult.

Traditional approaches to understanding how to optimize SAP software across the enterprise needs to start with an As-Is Assessment, because before initiating any new digital transformation programs or projects, it is imperative to understand the As-Is state of the software to identify accelerators, inhibitors, inform strategy, minimize risk, and ensure the journey to the To-Be is as effective and efficient as possible.?

The problem is that traditional As-Is Assessments typically take 1 – 2 years, cost between $1 Million and $7 Million, are facilitated by consultants from expensive management consulting firms, are prone to human error, bias, and internal politics, and typically only drill down to Level 2 of a 6 Level process breakdown structure – all of which may unknowingly render an SAP As-Is Assessment ineffective and potentially outright dangerous for strategic planning purposes, and which in turn often create unwelcome and extensive exposure, risk and liability, not to mention throw away work, re-work, and significant cost overruns.

But There WAS a Difference...

You see, in the scenario of the first CTO, he decided to contact Acquired Insights, Inc., a firm with a network of global luminaries in SAP, and in particular, with the ability to introduce, organize and facilitate a 1-Day round table to reduce the traditional As-Is Assessment from 1 – 2 years to just 1 day.?More importantly, this same 1-Day As-Is Assessment had been used successfully to complete over 1,800 assessments across 15 industries, and had produced a variety of relevant Use Cases to help this CTO acquire the confidence to make the decision to take this route.?Even better, once the round table was completed this CTO had continued access to the round table software for 12 months and was therefore able to regularly and accurately run the software on demand to track the gap between the As-Is and the To-Be to ensure quality deliverables were being produced on time and on budget.?

Because of that, he was able to not only reduce the time and cost of the As-Is Assessment, the assessment also produced details about the SAP system that were otherwise unobtainable through any other means.

For him, life was easy. Prosperous. Successful. He was able to inform the strategy around the organization’s SAP transformation, and fast-track the ability to prioritize and kick-start several newly identified and well-defined projects.?This also gave his firm a competitive edge in being able to bring new projects, services, and products to market, and when compared to using traditional expensive, time-consuming and labor intensive methods, did it 1 – 2 years faster and for a mere fraction of the cost; future projects were now likely to be approved, funded and delivered faster because of his ability to optimize ROI, generate scalable value, contribute to his firm’s fiduciary responsibility to investors while minimizing risk, and his legacy as a technical and business leader was now firmly etched in his organization’s culture.

And the Other CTO?

Unfortunately, the path he chose was to engage a large and expensive consulting firm, which unfortunately didn’t produce the level of detail necessary for strategic planning purposes.?After 18 months of workshops, facilitated sessions, strategic planning and putting a heavy burden on management and various employees to participate as stakeholders, no demonstrable results were produced and he fired the management consulting firm – which also came at a cost to his professional reputation.?This was not the legacy he had intended.

So, What Made the Difference Between These Two?

Have you ever wondered, as I have, what makes this kind of difference in people’s lives?

It isn’t intelligence or talent or dedication.

It isn’t that one person wants success and the other doesn’t…

The difference lies in the big, life altering decisions we make...

The right decision can steer you toward a path of success, prosperity and ease…

The wrong decision can steer you toward a path of failure, struggle, potentially a compromised reputation, and unfortunately the kind of legacy that no one wants.…
