What is a Team Contract

So what exactly is a team contract or team agreement. It's the rules of engagement. A team contract is a formal document that sets clear expectations, roles, responsibilities, and operational norms within a team to guide collaboration, communication, decision-making, and overall conduct. Its primary purpose is to align team members towards common goals and ensure that each individual understands their specific contributions.

The agreement also outlines working norms, such as communication protocols, meeting schedules, decision-making processes, and conflict resolution procedures, fostering teamwork, trust, and mutual respect.

When I have had to pull an agreement together there are a few main parts I like to identify.

These key parts of a team agreement include defining key stakeholders, their titles, roles, contributions, and the perceived outcomes of their collaboration.

Typical stakeholders are:

1. Executive Sponsor: Provides strategic vision, resources, and support.

2. Team Leader/Manager: Facilitates communication, decision-making, and coordination.

3. Team Members: Contribute expertise, collaborate on tasks, and meet deliverables.

4. External Partners: Offer specialized skills or insights as needed.

The contributions of each stakeholder help achieve outcomes such as alignment, efficiency, quality, collaboration, and tangible impacts that benefit stakeholders and align with organizational goals.

In the healthcare industry, a team agreement could involve stakeholders like a Chief Medical Officer (CMO), IT Director, medical staff, and external consultants to implement a new electronic health record (EHR) system. The agreement ensures alignment on EHR objectives, streamlined workflows, enhanced patient care, and improved clinical outcomes.

In the financial sector, a team agreement might involve a Chief Financial Officer (CFO), risk managers, investment analysts, and external auditors to address cybersecurity risks in online banking systems. This agreement would focus on understanding cybersecurity priorities, efficient threat responses, secure banking systems, and maintaining investor confidence.

The Chief of Staff plays a critical role in developing and facilitating team agreements by ensuring alignment, coordinating efforts, driving accountability, monitoring progress, and promoting collaboration within teams.

Considering time zone differences and communication styles is crucial in globally distributed teams. Timezone management involves:

1. Awareness and Acknowledgment: Clearly state geographical locations and timezones.

2. Communication Protocols: Define preferred communication channels.

3. Flexibility and Adaptability: Encourage flexible work hours and clear communication of availability.

4. Time Management Strategies: Provide tips for managing workloads across timezones.

Communication style guidelines include understanding diversity, setting clear communication expectations, adapting to preferences, and having a conflict resolution approach.


Challenges in implementing team agreements include resistance to change, lack of clarity, misalignment with organizational culture, insufficient training, lack of monitoring, changing team dynamics, inadequate flexibility, and lack of leadership support. Addressing these challenges requires clear communication, comprehensive training, ongoing support, regular evaluation, and adaptability. Engaging team members, addressing concerns, and fostering a collaborative environment are essential for successful implementation and sustained effectiveness of team agreements.
