Week 5 -Trial Master File Setup: Organization and Structure
Continuing our journey with the TMF Octopus, let's dive into the heart of setting up the Trial Master File (TMF). Just like an octopus, a well-structured TMF is adaptable, flexible, and has a central hub of control - its head.
When setting up your TMF, consider these best practices for organization and structure:
1.????? Centralization: Like the octopus's head, centralize your TMF to ensure all trial documents are easily accessible and manageable. Use a single, robust eTMF system that allows for real-time access and collaboration. In case multiple TMF systems built your Trial Master File, make sure your TMF Universe is well organized and und fully controlled end -to-end, in terms of set-up, filing and but also archiving.
2.????? Standardization: Each arm of our octopus works in harmony with the others. Similarly, standardize your TMF structure across all trials or across trial types for consistency. Adopt the CDISC TMF Reference Model for a universally recognized structure.
3.????? Compliance: Just as an octopus adapts to its environment, your TMF should comply with all regulatory requirements. Regular internal audits and independent quality checks, and the use of heat maps are key for maintaining compliance.
4.????? Training: An octopus learns and adapts to survive. Ensure your entire team (trial team, internal and external team members, TMF Business admin and so on) is well-trained on TMF management, including document filing, retrieval, and archiving procedures. Ensure maintaining high performing TMF network with targeted communication and change management.
