GFA Consulting Group implements the ‘EU-GCC Dialogue on Economic Diversification Project’ funded by the European Union.

The duration of the project is anticipated to be until April 2024. Under the general supervision and guidance of the Team Leader, the main duties and responsibilities are:

1.????Office management

·??????Manage office work

·??????Assist the Team Leader and other experts in implementing their tasks

·??????Manage office communication including contact with clients

·??????Screen and monitor telephone calls

·??????Maintain, update, and distribute project files

·??????Prepare and follow-up of timesheets for the experts working on the project, ensuring their timely submission

·??????Keep track records of meetings and promotional events

·??????Schedule meetings and keep track of appointments

·??????Maintain and update the project’s stakeholder matrix with full contact information, and integrate it with the project’s Mailer Lite software for distribution of project outputs

·??????Create, update, and maintain address lists and other useful documents for smooth functioning of the project office

·??????Provide support in the organisation and follow up of events

·??????Provide logistical support to training, workshops, and study visits (catering, equipment, promotion material)

·??????Make travel arrangements (taxis, hotels, visas) for experts

·??????Maintain office supplies (stationary and consumables)

·??????Assist in editing and finalising project reports

·??????Keep the office area well presented for clients

·??????Handle all types of correspondence (telephone, letter, fax, e-mail)

·??????Other tasks as they arise at the request of the Team Leader

2.????Project accounting

·??????Financial project administration (invoices, journals, budget control sheet) including regular exchange with the financial department of GFA

·??????Prepare monthly journals with all expenditures and invoices, and dispatch them to GFA

·??????Under the supervision of the Team Leader, prepare financial forecasts and requests for the advancement of funds

·??????Prepare budget estimates for all project activities (training, workshops, seminars)

·??????Review, arrange payment and record all project expenditure vouchers in accordance with the financial regulations of the European Union

·??????File all financial documents and prepare necessary conditions to work with audit agencies or financial inspection agencies as required

·??????Ensure all virtual communication platform subscriptions (i.e., WebEx, Zoom, etc.) are active

·??????Provide guidance and update other project staff on financial and accounting procedures and regulations

·??????As entrusted by the Team Leader, handle the project’s accounts and finances

·??????Keep a record of project finance-related requests and related administrative orders

·??????Handle petty cash and accounting for all expenditures within the project

·??????Update and maintain financial documentation and filing system

·??????Ensure that all relevant financial project documents are updated and at disposal

3.????Qualifications

·??????University degree in Accounting, Business Administration, or related discipline

·??????At least five years of experience in office management, preferably in previous international trade-related projects

·??????Computer literacy including Microsoft Word, PowerPoint, and Excel

·??????Strong problem solving, collaboration, and organisational skills

·??????Fluency in English & Arabic

·??????Working Knowledge of Arabic (desirable)
