1. Asset Coordinator

Role Overview: Manage logistics and inventory of project assets to ensure compliance and efficiency.

Key Responsibilities:

  • ?? Coordinate logistics and suppliers according to project needs.
  • ?? Understand and coordinate volumes of assets from different suppliers and analyze list of assets to ensure compliance with project needs.
  • ?? Maintain an accurate inventory of all project assets, including physical equipment, software licenses, and digital assets.
  • ?? Implement asset tracking processes to monitor asset locations, statuses, and usage.
  • ? Conduct regular audits to ensure the completeness and accuracy of the asset inventory.
  • ? Develop and supervise process of damaged, lost/stolen equipment and document all
  • ?? Related cases
  • ??? Coordinate asset decommissioning activities.
  • ? Indicate risks associated with asset protection, storage etc.
  • ?? Manage relationships with vendors, service providers, and leasing companies to ensure coordination of asset logistics, storekeeping, deployment and decomission.
  • Provide training and guidance to staff members on asset management policies, procedures, and best practices.
  • ?? Develop and maintain documentation, guidelines, and standard operating procedures (SOPs) for asset management processes.
  • ? Identify opportunities for process improvement and optimization within the asset management function.
  • ?? Develop requirements for storage spaces and warehouse and manage dedicated areas.
  • ?? Solicit feedback from stakeholders and end-users to identify pain points and areas for enhancement.

Experience & Education:

  • Experience in events asset management and conducting audits.
  • Proven ability to manage logistics and asset tracking.

Skills & Abilities:

  • Strong organizational and detail-oriented skills.
  • Ability to analyze asset volumes and ensure compliance.
  • Proficient in developing and implementing asset management processes.

2. Technology Coordinator

Role Overview: Support technical aspects of audio, video, and lighting systems, ensuring project execution aligns with technical requirements.

Key Responsibilities:

  • Assist with coordination of stakeholders to deliver the project.??????
  • ?? Assist with managing relationships with AV equipment vendors and suppliers.??????????
  • ? Coordinate Venue Technology Managers with different teams and departments??????
  • ????Coordinate and manage cross-functional teams including AV technicians, engineers, designers, and suppliers. ???????????????????????????????????????????????????????????????????????????????????????????????????????????????????????????
  • Provide technical guidance and support to the project team.??????????????????????????????????????????????????????
  • Troubleshoot technical issues and develop solutions to overcome challenges.
  • Enforce quality standards for AV installations and configurations.?
  • ?? Conduct regular inspections and quality checks to ensure compliance with project requirements.???????
  • ?? Implement corrective actions as necessary to maintain project quality.???????
  • ?? Identify potential risks and escalate to Project Manager and Technical Project Manager to minimize project disruptions.?????????????????????????????????????????????????????????????????????????????????????????????????????????? ???????
  • Monitor project progress and proactively address any issues or obstacles that arise.???????????????
  • Take part in daily, weekly and monthly meetings with suppliers and clients.????????????????????????????? ???????
  • Coordinate technical experts’ interaction with suppliers.????????????????????????????????????????????????????????????? ???????
  • ? Ensure support operations running smoothly.??????????????????????????????????????????????????????????????????????????????? ???????
  • ? Ensure compliance with safety regulations and standards.?????????????????????????????????????????????????????????? ??????????????????????
  • Facilitate effective communication between team members, clients, and other stakeholders. ???????
  • ? Resolve conflicts and escalate issues as needed to ensure timely resolution.??????????????????????????????????????????????????
  • ? Collaborate closely with client side to understand its needs and expectations.??
  • Ensure that project deliverables meet or exceed customer requirements and specifications??????????

???????????????????Experience & Education:

  • Minimum of 5 years’ experience in AV technology or a related field.
  • Bachelor’s degree in Technical, IT, AV technology, or a related field.
  • PMP certification preferred.

Skills & Abilities:

  • Excellent problem-solving and troubleshooting skills.
  • Ability to work in a fast-paced environment and adapt to changing needs.
  • Strong communication and interpersonal skills.
  • Proficiency in Azerbaijani and intermediate English.

3. Venue Technology Manager

Role Overview: Oversee AV infrastructure and technology operations within a specific zone, managing installation, maintenance, and technical support.

Key Responsibilities:

  • ?? Oversee the design, implementation, and maintenance of zone AV infrastructure.?????????????????? ???????
  • Ensure that AV infrastructure meets the needs of various venue events and activities, such as conferences, meetings, and events.???????????????????????????????????????????????????????????????????????????????????????????????? ??????????????????????
  • ? Be responsible person and SPoC for dedicated zone.???????????????????????????????????????????????????????????????????? ???????
  • Manage the installation, configuration, and maintenance of audio-visual systems within the responsible zone, such as sound systems, video displays, lighting equipment etc.???????????????????? ??????????????????????
  • ? Coordinate zone technical activities with cross-functional leads/teams to ensure proper planning of the zone AV infrastructure.
  • ? Coordinate with vendors and contractors to ensure that AV systems are properly installed, calibrated, and integrated with other venue technologies.??????????????????????????????????????????????????????????? ?????????????????????????????????????
  • ???? Coordinate technical support and troubleshooting for AV systems during events, addressing any issues or malfunctions promptly. ???????????????????????????????????????????????????????????????????????????????????? ??????????????????????
  • ??????? Collaborate with event organizers and stakeholders to understand their technology requirements and preferences for venue events. ?????????????????????????????????????????????????????????????????????????????????????????? ??????????????????????
  • ?? Coordinate the setup and operation of technology equipment and services during events, ensuring seamless execution and customer satisfaction.?????????????????????????????????????????????????????????????? ??????????????????????
  • ??? Monitor vendor performance and address any issues or concerns to Project Manager in order to maintain service quality and compliance with contractual obligations. ???????????????????????????????? ??????????????????????
  • ?? Supervise technical team including AV technicians, AV engineers, and support specialists.????? ???????
  • ?? Foster a culture of collaboration, innovation, and excellence within the AV team.???????????????????? ???????
  • ? Ensure compliance with technical requirements in technology operations.??????????????????????????????? ???????
  • ???Serve as the point of contact for dedicated zone for internal stakeholders, external partners, and AV vendors regarding zone AV matters. ??????????????????????????????????????????????????????????????????????????? ???????
  • Build and maintain positive relationships with key stakeholders to promote collaboration and support the success of venue events and activities.?????????????????????????????????????????????????????????????????????? ?????????????????????????????????????
  • Report on status, risks and issues to Project Manager in timely manner.??

Experience & Education:

  • Minimum of 3 years’ experience in venue technology management.
  • Extensive knowledge of AV technologies, IT, and network systems.
  • Bachelor’s degree in Technical, IT, AV technology, or a related field.
  • PMP or similar certification required.

Skills & Abilities:

  • Proven leadership and project management skills.
  • Strong problem-solving abilities and attention to detail.
  • Ability to manage a diverse technical team and work flexible hours, including evenings and weekends.
