We all have the same amount of time, use yours more effectively.

The world feels increasingly chaotic, both personally and professionally. While I believe most people have decent time management skills (you wouldn't have made it past elementary school otherwise), there's always room to enhance our productivity. A large part of that comes from improving our attention and distraction management. Call it what you will, but in my experience with coaching and training, 99% of clients cite "time" as their biggest challenge in achieving success.

Here are some tips for managing time and improving workplace productivity:

Avoid multitasking. Multitasking can reduce productivity by up to 40% and increase the likelihood of errors.? Constantly switching tasks due to interruptions isn’t effective. Focus is a superpower.

Prioritize tasks based on their importance. Everything and everyone are not a priority. Stop making them one.

Delegate. Delegating saves time, develops others, and motivates teams. Yes, it can be difficult, but it’s essential. You can’t grow and take on new responsibilities if you don’t make time by handing off old ones.

Set Boundaries.? Learn to say no. Say no to tasks that aren’t priorities, even if it’s your boss asking. By establishing boundaries, you set the expectations and manage your own time instead of allowing others to control it.

Use time management tools to increase productivity, motivation, and performance.? "I don't have time to watch a 20min You Tube video on Outlook email tips and tricks (see below)." Seems like a stupid statement if one tip can save you 3min on a task you do100x this year. Watch the video instead of surfing social media tonight.

Group like tasks. Work on tasks for the same project in one time block. This helps focus your thoughts and energy. Once you're in the zone, stay in it—starting and stopping wastes time.

Use the Pomodoro Technique This approach balances work with short, scheduled breaks. Find what works best to maintain your focus. For instance, one client built in 1-minute breaks between patients during a 12-hour ER shift to stay sharp.

Make lists. Make lists and integrate to-dos into your calendar. Put EVERYTHING into your calendar, not just appointments. Schedule tasks and time blocks to accomplish your priorities. Protect your time (boundaries). If you don't own it, someone else will.

Be realistic This goes for both optimists who underestimate how long things will take, and pessimists who overestimate. Instead of guessing, do some homework and set realistic deadlines.

Build rewards into your day.? What gets rewarded (drives positive emotions) gets repeated. Take a breath, grab a coffee, go to lunch, take a walk, take a drive, get an ice cream, go to dinner, whatever floats your boat. If you hit a productive milestone, celebrate!

Rethink meetings. Eliminate, shorten, or avoid unnecessary meetings. Meetings can be huge time wasters. If you don’t need to attend, opt out. If they’re unnecessary, cancel them. Keep them as short as possible, and when you do run them, manage them tightly. Invite only those who must be there, send out an agenda beforehand, and ensure clear action items with deadlines are documented and shared within 24 hours.

You can be exhausted from a crazy productive day or be exhausted from a crazy unproductive day - you pick.
