A short time ago, I had the opportunity to work with a large organization that serves communities across the entire Pacific Rim. This organization has a significant presence in the region and is well-known for its extensive impact. However, despite being both a large and successful organization, their document storage and file directory systems were far from ideal.?

Navigating their folder structure was an arduous task, with files scattered across multiple locations and no clear organizational system in place. Employees often found themselves spending valuable time searching for the information they needed, only to come across multiple versions of the same document with no indication of which one was the most current. This confusion led to duplicated information and conflicting data, causing delays and errors in decision-making processes.?

To make matters worse, the organization had no standardized storage locations for specific types of documents, making it difficult for employees to know where to save their work or find important templates. This lack of clarity resulted in an even more disorganized file structure, as employees resorted to creating their own folder systems and saving documents in various locations.?

The inefficiency of their file storage and directory navigation took a significant toll on productivity, costing the organization time and, undoubtedly, money. Employees wasted countless minutes searching for information, and the lack of a streamlined file management system led to increased frustration and reduced job satisfaction.?

It became evident that an effective file storage and document organization system was necessary to improve the situation.?Unfortunately, despite the pressing need for change in the organization's file management system, there was a significant obstacle to overcome: the leadership's resistance to change. While leadership verbally expressed their openness to adopting new strategies and systems, their actions told a different story. They were, in reality, completely closed off to the idea of revamping the organization's file storage and document organization processes.?

This resistance to change is not uncommon among businesses, especially when it comes to well-established and successful ones. Leaders may become complacent, believing that their current systems and processes are sufficient, or they may fear the unknown and perceive change as a threat to their stability. The LEAN methodology is a powerful process improvement approach that aims to eliminate waste and improve efficiency throughout an organization. The goal is to create more value for customers by reducing waste, improving quality, and increasing productivity.

In LEAN methodology, waste is categorized into eight types which are Overproduction, Waiting, Transportation, Processing, Motion, Inventory, Defects, and Unused Talent. While all of these wastes can hinder efficiency and productivity, the waste of "Waiting", equally referred to as "Time", can be especially detrimental to businesses.

Inefficient file directory management is one example of how the waste of "Time" can occur. When employees spend time searching for files or struggling to navigate an unclear folder structure, they are experiencing this waste. Time could be better spent on value-added tasks that directly contribute to business objectives.

For businesses with limited resources and tight deadlines, wasted time means lost productivity, missed opportunities, and decreased profitability. By implementing LEAN principles and improving file directory management, organizations can reduce waste and increase productivity, leading to better outcomes for both customers and the business.

Combining local and cloud storage can provide the best of both worlds, allowing you to leverage the benefits of each while minimizing their drawbacks. For example, frequently accessed files or sensitive data can be stored locally, while backups and less critical files can be stored in the cloud. By utilizing a hybrid approach, organizations can achieve greater flexibility, scalability, and cost-efficiency.?

If each employee experiences a Time Waste of just 5 minutes per day searching for files or documents, that equates to 500 minutes or over 16 hours of lost productivity per day. Multiply that by 5 days a week and 50 weeks a year, and you have over 2,000 hours of wasted time annually.
