The Challenge

Health & Her was facing a significant storage crisis due to Microsoft’s policy requiring a minimum of 100 versions per document file in SharePoint. Each time a file was saved, an identical copy was created and stored, rapidly consuming storage space. For instance, a 200MB PowerPoint presentation saved 100 times would balloon to 20GB. This led to an exponential increase in storage usage, forcing Health & Her to constantly upgrade its SharePoint storage capacity.?

At a cost of £0.19 per GB per month, these storage demands quickly became a substantial financial burden, costing Health & Her a large monthly fee to keep up with their growing storage needs.?

Deleting Versions

To address the storage issue caused by Microsoft’s policy requiring a minimum of 100 versions per document, we developed a specialised tool. This tool gathers detailed information on file sizes and version counts for each document within SharePoint. By analysing this data, we can make informed decisions about the optimal number of versions to retain while safely deleting the unnecessary ones. This strategic approach allows us to free up significant storage space without compromising document integrity. Archiving?

Many companies have vast amounts of data stored in SharePoint that have not been accessed in several years. Despite their inactivity, this data continues to occupy valuable storage space.
