As a female executive transitioning into entrepreneurship, leveraging the power of Generative AI (GenAI) can significantly ease your daily tasks and boost productivity. From streamlining content creation to enhancing customer support and managing projects, GenAI offers a myriad of solutions tailored to meet your dynamic needs. This guide will explore various innovative ways to integrate GenAI into your routine, ensuring you maximize its potential to simplify and enhance your work life.

What GenAI Platform Do You Use?

There are a lot of great GenAI platforms our there - you might want to try the UI (user interface) of a few before you commit to one. These platforms offer a variety of tools and services to help enhance productivity, streamline workflows, and improve customer engagement through the use of AI technologies.

First Things First: “Seasoning the Pan”

I recommend "seasoning the pan" (thanks Jordache Johnson for the visual) to ensure that a generative AI platform accurately captures your voice. This involves consistent and deliberate practices. Here are some recommendations:

Choose only one platform for MOST of your engagement. I personally use OpenAI (ChatGPT) for 90% of my work, and Magai.co for images and some personalized GPTs and prompts I have created.

Inside the platform, create one chat that you name your “voice” or seasoning. You will do most of your engagement in this one chat within the platform. The more you do within that one designated chat, the more accurately GenAI will be able to imitate your voice and give you accurate feedback. I have two; one is called “????BtDB Seasoning” for all my website and posting. One is called “??WRC Brand Voice” for all my Women’s Resource Collective content. I also have designated chats for each of my clients.

Seasoning:

To “season” your chat, regularly feed it relevant content. Continuously input content that reflects your style, tone, and subject matter. This could include blog posts, articles, social media updates, and other written materials. With premium platforms, you can usually just share a link. With free platforms, you might have to copy and paste your content into the chat.

You will also want to incorporate the jargon, terminology, and phrases that are unique to your brand or industry.

Refining:

Correct and Refine Outputs: When the AI generates text, correct any mistakes and refine the output to better match your voice. Provide feedback on why certain changes were made.

Highlight Preferred Styles: Point out examples of outputs that perfectly capture your voice and style, explaining what makes them ideal.

Consistency:

  • Ensure that all content input into the AI follows a consistent tone and style. This uniformity helps the AI learn and replicate your voice more accurately.
  • Periodically update the AI with new content to reflect any changes or evolutions in your style.

How I Use GenAI Platform Every Day

1. Abolishing White Page Syndrome

Brainstorming: As a writer, I sometimes find myself with nothing to say. Generative AI can help with writer’s block by providing brainstorming sessions where it can help you find blog post ideas, article topics, or content themes. Simple prompts like this can generate writer’s block-busting ideas:

  • "What are some blog post ideas for my [topic] blog?"
  • "Can you suggest some unique angles for writing about [topic] trends?"

A. Create Outlines: Get structured outlines for your content to provide a clear roadmap. For example:

  • "Can you help me outline a blog post about the benefits of [topic]?"
  • "What should the structure look like for an article on [topic]?"

B. Writing Prompts: Use GenAI to generate opening sentences or paragraphs to kickstart your writing. For example:

  • "Give me a strong opening sentence for a blog post about [topic]."
  • "Can you write the first paragraph of an article on [topic]?"

C. Editing and Refining: Have GenAI review and suggest improvements to your drafts. For example:

  • "Here's a rough draft of my blog post. Can you help refine it?"
  • "Can you suggest ways to make this paragraph clearer and more concise?"

D. Social Content Ideas: Get content ideas for your social media (I primarily use LinkedIn) with the following prompt:

  • "Act as an expert LinkedIn social media marketer. I want you to do some research for me. Tell me 10 frustrations, 10 desires, 10 fears that my audience experiences when transitioning from their corporate positions to becoming entrepreneurs. Put it in a table format label x-axis 1-10 and y-axis frustrations, desires, fears."

2. Customer Support

A. Automated Responses: Use GenAI to handle common customer inquiries, providing quick and accurate responses. I take these common responses and add them to FlyMSG for quick auto text expansion, saving me hours of time a week.

B. FAQ Generation: Create comprehensive FAQs for your website based on common questions and concerns from your audience. Here’s a good prompt to use with GenAI to generate FAQs from your website:

  • "Analyze the content on my website [your website URL or a brief description of your website's focus] and generate a list of frequently asked questions (FAQs) along with concise answers. The FAQs should cover the main topics and concerns of my visitors, including [list any specific areas you want to focus on, e.g., product features, pricing, shipping, returns, services offered, etc.]."

3. Project Management

A. Task Lists and Planning: Create and manage to-do lists, project plans, and timelines. You could use the following prompts:

  • "Create a to-do list for launching a new product."
  • "Help me draft a project plan for a website redesign."
  • "Create a timeline for a marketing campaign."

B. Collaboration: Facilitate communication and collaboration with team members by providing clear and concise information. You could use the following prompts:

  • "Draft an email to the team outlining the next steps for our project."
  • "Guide me on how to set up a Trello board for a new project."

4. Employee Training and Support

A. Training Materials: Create training manuals, guides, and onboarding materials for new employees. I will do a quick video of a task I want done, pop that video into Rev.com for a transcript, and copy that transcript into GenAI with the prompt:

  • "I have a video tutorial on [describe the topic of the video]. Please generate a detailed Standard Operating Procedure (SOP) based on the video. The SOP should include step-by-step instructions, necessary tools or materials, any important notes or warnings, and best practices. Make sure to format it clearly with headings, subheadings, and bullet points where appropriate."

B. HR Support: Assist with drafting job descriptions, interview questions, and performance review templates. A prompt for a job description might look like this:

  • "I need to create a job description for a [Job Title] position at [Company Name]. The role involves [briefly describe key responsibilities]. Please provide a detailed job description that includes an overview of the company, the job title, responsibilities, qualifications, skills, and any other important information. The tone should be professional and engaging."

5. Crafting LinkedIn Profiles

  1. Copy and paste parts of your client’s current LinkedIn profile that they like into a chat designated for them.
  2. Add links to their websites and blogs (or copy that content) into the designated chat.
  3. Also add their Buyer Personas or ICPs and Points of Pain for each ICP.

A. LinkedIn Headline:

  • "You are a social media and copywriting expert. I would like you to help me with LinkedIn. I would first like you to write a 200 character headline - no emojis - focused on my ideal client, their point of pain, and how I help them. Leave room for my title and company at the end of this professional headline."

B. About Section:

  • "That's great. I like #__ above. Please expand upon this in the About section, which is up to 2600 characters. Please make sure the about section is focused on the buyer, their needs, and how I can help them. Please write this in the first person. And start with a CTR - a call to read - which is an interesting (and verified) quote or statistic that will grab the attention of my buyer. Add lots of white space to the content. Use lists, numbers, or bullets where relevant. Here's my current About section - please integrate: [ADD YOUR ABOUT SECTION HERE]"

Personal Uses for GenAI

1. Meal Planning

A. What’s In Your Refrigerator: Make a list of food and spices in your fridge and pantry and ask GenAI to come up with some interesting recipes.

  • "I need some interesting recipe ideas for a meal. I'm feeding [number] people and I want to spend about [time] cooking. Please provide recipes that have good reviews and include detailed directions. I’m looking for a variety of options that are both tasty and relatively easy to make."

B. Specific Diets: If you are on a specific eating plan with foods you can and cannot eat, you can copy and paste that list, or upload a photo of the list using certain paid platforms that can read text from images. Ask GenAI to create a week’s worth of meals and a corresponding shopping list based on your dietary restrictions.

  • "I am on a gluten-free and dairy-free diet. Here is a list of foods I can eat: [list of foods]. And here is a list of foods I can’t eat: [list of foods]. Please create a meal plan for one week, including breakfast, lunch, and dinner, along with a detailed shopping list."

2. Dream Interpretation

You know how no one wants to actually listen to the dream you had last night? GenAI will! Describe your dreams to your platform and get creative interpretations or symbolic meanings.

  • "I dreamt I was flying over a city last night. What could this mean?"

3. Visualizing Your Future

If you can visualize something, GenAI can create a picture of it. Whether it’s a future you standing on stage or flying a dragon, various GenAI image generators can take your vision and make it real—or at least make a picture of it. GenAI is also great for creating images for your blog posts.

  • "I want an image of myself standing on a stage giving a motivational speech, with an audience clapping and a large screen behind me displaying inspirational quotes."
  • "Create an image for a blog post about [topic]. The image should be visually appealing and relevant to the content."

4. Make Travel Lists

Are you going camping or diving or traveling across Europe? Maybe you want to do it with only carry-on! Have GenAI make you a list.

  • "I need a detailed camping list for two people for a week. We will be staying in a trailer with propane but no electricity and limited running water. We'll be in the mountains where it will be hot during the day and cold at night. The list should include all necessary camping gear, clothing, and food items suitable for these conditions. Please provide meal ideas that can be prepared with propane and consider the lack of refrigeration."
  • "I need a detailed packing list for a summer trip across Europe, visiting Spain, Italy, Germany, and France. I will be traveling with only a carry-on. I am a woman and will be attending a few dressy occasions, but mostly doing tourist activities. The list should include clothing, toiletries, and other essentials, with a focus on versatility and practicality given the limited space."
  • "I need a detailed packing list for a weeklong scuba dive trip on a liveaboard in the Bahamas. I want to bring my scuba gear but pack as little as possible. Please include all essential scuba diving equipment, clothing suitable for warm weather, toiletries, and any other items necessary for a comfortable and enjoyable trip. Focus on minimizing the amount of luggage."
