USER STATUS MANAGEMENT IN SAP

This document specifically focuses on Extra Control by using User Status besides Standard Status in SAP

WHAT IS THE USER STATUS?

Apart from having System status, SAP has given the option of using User Statuses to enforce the control system. User Status by the name itself, is defined by the user for having further more statuses for the same document apart from existing System statuses.

User Statuses can be defined as per our convenience & as per the business requirements.

I have Explained Step by Step to implement user status functionality in SAP.

Step 1: Create Authorization key

Path: SPRO>PM> Master Data in Plant Maintenance and Customer Service> Basic Settings> Create Authorization Keys for User Status Authorizations

T-Code: BS52

Authorization Key

Step 2: Create User Status Profile

Path: SPRO>PM> Master Data in Plant Maintenance and Customer Service> Basic Settings> Define User Status

T-Code BS02/OIBS

User Status Main Screen: Here define the user status code, description & Language

User Status Profile

User Status - Object Type Screen: Here define the purposes of usage of the user Status profile

Define Object

User Status - Details Screen:

  • Here the status order number is used to define the sequence of the user statuses in a status profile.
  • Status is Key which informs you of the current status of an object.
  • Init. status If status is marked as an initial status, it is automatically activated in an object when the object is created.
  • The system records the highest status number reached so far, and the "lowest number" within that range determines the number for a new status.
  • Auth. Code (Authorization Key) provides each of those user statuses an authorization key if we want to guarantee that only members of a specific group can change a particular user's status. It is used in an Authorization Role.

Define Status & relevant Other elements

Step 3: assign order status profile to order type

Path: SPRO>PM> Master Data in Plant Maintenance and Customer Service> Maintenance and Service Orders> General Data> User Status for Orders> Define Status Profile> Assign User Status to Order Types

T-Code OIOG

Status Profile Assign to Order Type

Once we have finished setting up the configuration, the SAP System will look at the authorization objects B_USERSTAT & B_USERST_T for each user to determine the authorization to perform certain processes.

Step 3: role maintenance

Need to maintain the status Profile in the authorization objects for role maintenance
