I had joined one growing organization. Seven days after joining, I realized that the work that I had assigned to my team was not getting completed. They had been facing some challenges in completing those tasks. I was also not getting input from other departments. Everybody was doing their work in their own style.
On further analysis, I found that
1)????There was no standard process for doing things.
2)????No coordination was happening within the departments.
3)????The team members didn't communicate well with one another.
4)????Leadership and people-management skills were lacking.
5)????People were not clear on the vision of the organization.
I discussed with my boss these challenges, for which he also agreed, and he expressed his concern about the following:
a)????Organizational revenue is not growing as quickly as anticipated.
b)????There is an increase in cost day by day, and
c)?????Despite having a good team size, the organization is not seeing results.
He asked me to look for solutions to this and encouraged me to do so. The boss had now begun to trust me.
I come from a financial background, so I only had an in-depth understanding of my department's operations but not detailed knowledge of the functioning of other departments. But when somebody starts believing in you, it puts more pressure on you to uphold their trust.
I started studying the entire organization's activities and the values they were adding towards the objectives of the organization. I examined the below-mentioned things:
1)????Activities each department was doing
2)????Practices that the organization adopted for doing those activities
3)????Type of work flow and process they followed
4)????Reporting standards and formats that they adopted
5)????Challenges that everybody faced in the organization,
6)????The people's mindset at work
7)????The leadership style adopted by the team leader

I took the following action to solve these problems:
????????????????????????????????????????????????????????????????????????????????????????????????????????????????????????
1)????Carefully studied the Business Model , vision of the organization, and challenges of the Industry in which the organization operates.
2)????Made extensive research on the functioning of each department.
3)????I recalled all the interactions and experiences I had with each department of the previous organization and the leadership style of each department head.
4)????I had meetings with the respective heads of my previous organizations to understand the processes and practices that they were following and the challenges that they were facing.
5)????I had a discussion with friends who were experts in their respective departments.
?
Finally, with the help of Team members and department heads,
1)????I designed processes and workflows for each department after considering problem areas.
2)????Developed a system for executing each task effectively with internal control points
3)????Done actual implementation of the newly developed system
4)????Created formats for various reports and presentations,
5)????Designed the various forms required for each department.
6)????Created the expected work profile required for each role in the organisation and
7)????Arranged Training programs for staff members and Team leaders separately.
After adopting new processes, workflows, and systems, the organization started growing at a fast pace, and it is still growing.
I left that organization long ago. Last year, I had some office work in the area in which that old organization operated. After completing my office work, I visited their office and met my previous boss and colleagues. I saw that people were still following the same process, using the same workflows, and using the same system (with slight changes as per changes in law) with the same reporting and presentation formats. After observing this, my heart filled with full of satisfaction since I was still a part of that organization in the form of processes, workflows, and systems. I was still in existence in that organization without my physical presence. I expressed my sincere gratitude to the universe.
Thanks for reading.
