Understanding the Default Diary

The Default Diary isn't a new invention; it's something we've been using since our school days, just under a different name – the timetable. Remember how our school timetables helped us manage multiple subjects efficiently? It's time to bring that same structure into our business lives.

As business owners, we're faced with numerous functions and activities that demand our attention – sales, production, finance, marketing, and more. Without a structured approach, we risk missing important tasks, feeling stressed, and not utilizing our time effectively.

Creating Your Default Diary

Here's how you can create your own Default Diary:

  1. List Your Functions: Start by listing all the functions and activities you need to handle on a weekly basis. Limit this list to around 7 or 8 categories, or group similar activities together.
  2. Allocate Time Percentage: Assign a percentage of your time to each function. For example, Sales 25%, Production 20%, Finance & Accounts 10%, etc. Also, include new activities you want to start doing but haven't been prioritizing.
  3. Calculate Hours: Multiply the percentage by the total number of hours you plan to work per week. If you work 40 hours and allocate 25% to sales, that's 8 hours dedicated to sales per week.
  4. Distribute Time Slots: Divide your week into time slots for each category. Some activities may be daily, while others could be weekly or alternate days. Ensure you cover all activities and don't leave gaps.
  5. Adjust for Variability: Some activities may not be needed every week. Plan for these by alternating them on odd and even weeks. For example, review Accounts Receivable one week and Inventory the next.
  6. Break Down Your Day: Break your day into 15-minute slots to ensure maximum efficiency. Include breaks, meals, emails, and planning time. Avoid leaving gaps as it reduces productivity.
  7. Non-Negotiable Slots: Dedicate non-negotiable slots for critical activities like business development, planning, and systematization. These activities are essential for long-term success.

Stick to Your Default Diary

Once you've created your Default Diary, the key is to follow it diligently. Treat each time slot as non-negotiable and switch tasks when the allocated time is up. This disciplined approach helps you accomplish tasks on time and avoids procrastination.
