We’ve all been in those “marathon” meetings where discussion runs long, tasks remain ambiguous, and everyone leaves unsure about next steps. Early in my leadership journey, one such meeting dragged on and little was accomplished. The lesson? Even a good agenda can fail if we lose track of time and accountability.

4 Strategies for Results-Driven Meetings:

Stay Focused and Respect Time

  • Start on schedule, end on time.
  • Use a “parking lot” to briefly note off-topic ideas for follow-up without derailing the main agenda.

Drive Accountability with Action Steps

  • Summarize decisions and assign tasks.
  • Set deadlines: “Dr. Legrand will finalize the parent communication plan by Friday.”

Build a Positive, Productive Culture

  • Start by celebrating a success or highlighting a team achievement.
  • Create meeting norms (e.g., “Be fully present”) and revisit them so they don’t become stale.

Utilize Technology and Tools

  • Platforms like Google Docs or Asana streamline agendas and note-taking.
  • Visuals (slides, charts) keep remote or in-person attendees engaged.

Treat each meeting like an opportunity to spark progress. Tweak one aspect of your meeting process—like using a parking lot or assigning tasks—and watch your team’s focus sharpen.
