Below are key ways that Copilot enhances the Microsoft Teams Phone experience:

3.1. Real-Time Call Summaries and Note-Taking

Copilot listens to conversations during calls—whether internal or external—and generates real-time summaries and action items. This feature eliminates the need for manual notetaking, ensuring that participants can focus on the conversation.

  • During VoIP or PSTN calls, Copilot transcribes the key points discussed and highlights action items.
  • Copilot can automatically generate follow-up emails or reminders based on call outcomes, ensuring no critical task is missed.
  • For long or complex meetings, users can ask Copilot, “What did we agree on?” or “What are the next steps?” to receive an instant summary.

3.2. AI-Powered Call Analytics and Sentiment Analysis

Copilot provides real-time sentiment analysis during conversations through its integration with Teams Phone. This feature is particularly useful for customer service teams handling external PSTN calls or call center interactions.

  • Sentiment detection can help identify if a conversation is trending positively or negatively, enabling managers to intervene proactively.
  • Call transcripts and analytics can be reviewed after each call to improve customer engagement strategies.
  • Managers can use Copilot to analyze call trends over time and identify patterns that need attention, such as recurring issues or missed opportunities.

3.3. Automating Follow-Ups and Task Creation

After completing a phone call, Copilot can automatically suggest next steps, such as creating tasks in Microsoft Planner or To-Do, scheduling follow-up meetings, or sending summaries via Teams chat or Outlook.

  • For example, after a sales call, Copilot can draft a follow-up email to the customer summarizing key discussion points.
  • Copilot integrates seamlessly with Microsoft To-Do to ensure all commitments from calls are logged as actionable tasks.

3.4. Streamlining Customer Interactions with PSTN Calls

With the integration of Copilot, PSTN calls are no longer isolated communication events but have become part of a unified, intelligent communication system. Copilot's AI capabilities extend to external calls, providing the same insights and automation as internal conversations.

  • Unified contacts and call history: Copilot can pull information from Teams, Outlook, or Dynamics 365 to provide detailed context about the person on the other end of the line during a PSTN call.
  • If a customer calls in, Copilot can display relevant notes?and previous communications and even suggest appropriate responses or resolutions based on the customer’s history.
  • Copilot provides instant summaries of external calls that teams can share, ensuring everyone stays aligned.

3.5. Enhancing Collaboration During and After Calls

Copilot bridges the gap between phone conversations and collaboration by enabling real-time collaboration during calls.

  • During calls, Copilot can assist participants by inserting live links to relevant documents, policies, or procedures into the chat, reducing the need to search for information manually.
  • After calls, Copilot can recommend which teams or individuals to notify about key decisions or changes made during the conversation.

3.6. Voice Commands and Hands-Free Operation

With voice command capabilities, Copilot allows users to manage calls more effectively, enhancing productivity for frontline and remote workers who rely heavily on hands-free operations.

  • Users can initiate phone calls, put calls on hold, or transfer calls using simple voice prompts.
  • Copilot can also trigger automation based on spoken instructions, such as scheduling a follow-up meeting immediately after a call ends.

4. Unified Communication System: All Channels in One Place

Creating a unified communication system is one of the most significant advantages of integrating Copilot into Microsoft Teams Phone. This system combines various communication channels—voice, video, chat, and email—into a seamless, centralized platform.

  • Internal and external calls, including PSTN calls, VoIP, and Teams meetings, occur within a single interface.

Interesting - However unclear on how recording and listening aligns with Import/Export regulations as well as European Privacy. In addition to those who still have LAN lines, recording of conversations may be against the law without approval. This will be something to watch how AI impacts some of our US and Global regulations.
