The world has seen Human Resources technology evolve in time in order to catch up with the digital environment. From Paper-Based Systems where the HR department operated in isolation and not integrated to other business-related functions, to Early Personal Computer technology through which had minimal functionalities of storing employee data on servers, moving to Electronic Database Systems which allows for integration to other business functions and production of reports and finally now to Web-Based technology which focuses on automating as many transactions as possible to achieve effectiveness and efficiency. Organisations are generally still at different stages at the moment. However, technology through this evolution has proved to be more beneficial to the management of work and people related processes through the following:
1. Streamline of HR processes and reduction in administrative burdens
Storage and maintenance of paper files can be a huge burden to the HR team and not to mention going through hundreds of handwritten application letters and CVs just to handpick a few to shortlist for an interview. HR Technology has made this easier through various platforms to allow the team to post jobs online and put filters so that automatic selection of competent candidates is done effortlessly. Not only is keeping employee data on cloud cheap and accessible but it is also secure.
2. Improvement of data accessibility for employees and managers.
Web-based HR Technology has enabled employees and managers to have access to data relating to them effortlessly through their mobile phone or computer without location boundaries. Instead of one waiting to go to the office and request a new form to fill in relevant details, an employee can do it in the comfort of their own home.
3. Provision of meaningful reports for decision making
Where HR practices such as performance appraisals had only become traditions, meaningful reports on organizational trends can now be pulled out. Managers can see which departments are underperforming then make a decision perhaps on measures they can take to improve performance such as training or incentives through rewards.
4. Competing more effectively for global talent.
One best thing about web-based technology is its ability to reach people from all parts of the world in a second. Organisations now have the opportunity to attract competent candidates from anywhere without geographical limitations. A competent employee makes a good organization. Instances, where applications could only be received from individuals in the same location, are no longer there, now talent can be sourced from anywhere without any hindrances.
5. Enabling HR in playing a more strategic role in the organisation
Instead of being just a stand-alone department, the HR team can now contribute strategically through the productivity reports that it will be producing and assist even the other departments such as Finance with information that they can make use of when deciding on bonuses, remuneration, cost-cutting and so on.
