In today's digital workspace, efficiency and seamless integration across tools are crucial for optimal productivity. Microsoft Power Platform, specifically Power Automate, enables users to approve workflows directly through Teams and Outlook, bypassing the need to return to Dynamics 365 Finance and Operations (D365FO). This approach simplifies processes, enhances collaboration, and ensures timely approvals. Here’s how you can leverage these tools for streamlined workflow approvals.

Benefits of Approving Workflows via Teams and Outlook

  1. Convenience: Approvers can respond to requests directly from their email or chat interface, without needing to navigate back to D365FO.
  2. Speed: Immediate notifications and the ability to approve on-the-go facilitate faster decision-making.

Practical Examples

  1. Expense Approvals: Automate the expense report approval process. When an employee submits an expense report in D365FO, an approval request is sent via Outlook and Teams to the manager. The manager can approve or reject the request directly from their email or Teams notification.
  2. Purchase Order Approvals: Streamline purchase order approvals by configuring a flow that triggers when a new purchase order is created in D365FO. Approvers receive a detailed request in Teams and Outlook, where they can quickly make decisions.

Setting Up Workflow Approvals with Power Automate

Step 1:

Create a New Flow in Power Automate(Automated cloud flow)

Step 2:

There are multiple options to consider, and I would like to focus on simple options that minimize code-level changes and clearly demonstrate the benefits of using Power Platform workflows.

Step 3: I'm initializing the values to use in the flow and providing simple conditions. We can still add different conditions based on the requirements.

Step 4: I have included a true or false condition: if it is true, send the update to my Outlook email; if not, send it to another email ID

Step 5: I have added a filter condition to get the Purchase Order number. For that specific PO number, an email will be triggered.

Step 6:I have initialized the values and am applying to each.

Step 7: This step is optional, but I would like to demonstrate how to use Teams to facilitate the approval process, etc.

Let's test the example for the Purchase Order confirmation approval through Teams or Outlook.

Create a purchase order. If the net amount exceeds $500, trigger an email to Outlook and another email as per the configured settings.

Confirm the PO and lets check the flow status.

The system displays approval options in Teams, eliminating the need to navigate to D365FO to approve the workflow.

The flow triggers an email to Outlook based on the configuration. You can choose to approve it through either Teams or Outlook.

Once its approved system display the approved and document also can be saved.

In Outlook

By approving workflows using Teams and Outlook instead of returning to D365FO, organizations can significantly enhance efficiency and responsiveness. The integration of Power Automate with these tools provides a user-friendly, streamlined approach to managing approvals. This not only saves time but also ensures that critical business processes are not delayed, keeping operations running smoothly.
