In the fast-paced world of startups, where agility and adaptability can spell the difference between success and failure, productivity isn't just a buzzword—it's the backbone of a company’s growth. Over time, I’ve gathered some key productivity insights from experience and startup experts that can help founders and teams maximize their time, energy, and focus.
1. Laser Focus on Customers and Their Problems
The most critical advice is simple but often overlooked: focus on solving your customers' problems. During my time working with various startups, I learned that customer-centricity drives innovation and growth. Early on, it's easy to get lost in your own ideas, but you must shift that focus to what matters most—delivering solutions that your customers need, not just what you think they want.
An example from my own experience is working with a fintech client. We were initially excited about a feature we thought would revolutionize the user experience. However, after speaking directly to users, we discovered their main pain points lay elsewhere. By realigning our focus, we not only increased customer satisfaction but also significantly boosted user retention.
2. Set Clear Priorities and Eliminate Distractions
Startup life can get chaotic, and the biggest challenge is juggling a thousand tasks. What I’ve found most effective is setting clear, ruthless priorities and eliminating distractions. When I was managing campaigns for a client, we always started the week by outlining our top three tasks—everything else was secondary.
If you don't structure your time, you'll end up spending hours on tasks that don’t really move the needle. For instance, early on, I would spend time fine-tuning marketing materials, only to realize that we were losing potential customers because our core messaging wasn’t clear. Once we identified that the priority was fixing the communication, everything else fell into place.
3. Avoid Fake Work: Focus on Meaningful Tasks
This is a lesson I’ve learned the hard way. "Fake work" is one of the biggest productivity killers. These are the tasks that make you feel productive but don’t contribute to real progress—like reorganizing files or endlessly tweaking a design. Early on in my career, I spent days preparing detailed reports that were rarely used. Now, I focus only on tasks that are directly tied to achieving key business goals.
For instance, when running a performance marketing campaign, rather than spending days on a detailed analysis of minor metrics, I prioritize actionable insights that can immediately improve our campaigns. This not only saves time but also ensures that every effort has tangible results.
4. Understand the Maker vs. Manager Schedule
One thing I struggled with initially was balancing the deep work of creation (what's called a maker schedule) with the demands of management and meetings (manager schedule). Trying to switch between these two modes often led to frustration. Over time, I started blocking specific hours of my day for uninterrupted deep work, while allocating separate time slots for meetings and other managerial tasks.
For instance, while working on an intense marketing campaign, I blocked my mornings for strategic planning and execution (maker mode), leaving the afternoons open for calls and discussions (manager mode). This simple adjustment improved my productivity and reduced burnout.

5. Say No to Non-Essential Tasks
I used to struggle with saying no to new tasks and projects, but I’ve learned that saying no is often the most powerful tool for maintaining productivity. In a startup, the sheer volume of opportunities and requests can be overwhelming. Early on, I would agree to every meeting or task request, only to find myself stretched too thin.
Now, I’ve become comfortable with turning down tasks that don’t align with my top priorities. For instance, when launching a new feature, I declined offers to participate in side projects that weren’t critical to our success. This focus allowed us to launch faster and with better results.
6. Collaborate and Work Smarter
Collaboration has been a game-changer in my productivity. I've found that working with people who have different expertise allows me to focus on my strengths, while they handle areas where they excel. In one project, our team was struggling with the creative aspect of a campaign. Instead of taking it all on myself, I brought in a design expert, which freed me to focus on strategy. The result was a much more effective campaign than if I had tried to juggle everything.
Also, continually looking for ways to improve your processes can yield incredible results. Automation tools have saved me hours of manual work, from scheduling social media posts to automating data reports.
7. Avoid Multitasking: Hyperfocus on One Task at a Time
It’s tempting to multitask, especially when there’s so much to get done, but it rarely works. Hyperfocusing on one task at a time has allowed me to finish high-priority tasks faster and with better results. I used to think I could handle multiple tasks simultaneously, but I often found myself making mistakes and taking longer to finish projects.
Now, I tackle one key task with full attention, and only after completing it do I move to the next. For instance, when setting up a marketing funnel, I used to juggle copywriting, data analysis, and client meetings all at once. Today, I focus entirely on one task—such as optimizing the landing page—and only move to the next once it's done. This hyperfocus has drastically improved my productivity and the quality of my work.
Conclusion: Productivity is a Mindset
At its core, productivity isn't just about working longer or harder—it's about working smarter, prioritizing what truly matters, and staying laser-focused on key objectives. Whether it's focusing on customer problems, avoiding fake work, or mastering the maker vs. manager schedule, these strategies have personally helped me navigate the hectic startup world more effectively.
