Top Business Systems By Income Bracket

My favourite perk of having a well-oiled business is that I get to say YES to everything I want to say YES to.

I’m mostly talking about being able to vacations while running your business

Now I’m writing this before taking another trip to Chennai for a Business Sumit

Time is not an issue.

My business doesn’t require more than 30 hours a week (decreasing every year).

I can safely step away and everything will keep running.

My automation and my team will handle the rest.

Businesses should be freedom enablers.

They should provide us with the time and money we need to do whatever we want.

And they should cause us zero stress.

Last week, I was talking to an active client.

When we started working together he complaint that he needed to be present in every single step of the fulfilment for his team to execute.

Now his fulfilment is 100% hands-free for him.

And now, we’re starting to build the same with his sales process.

That’s what I wanna share with you today.

Which systems do you need to build to run a stress-free business?

I’ve split this by income level (in INR).

0 to 1 Lakh per Month

At this stage, you're likely working alone or with a co-founder.

Income fluctuates, and you haven't systemized your processes yet.

You don’t have enough experience to do so.

Essential Tools:

• Google Calendar: For scheduling.
• Notes App: For jotting down important information.
• Tasks: Todolist or whatever simple tasks app. It doesn’t matter.
• Focus: Finding clients through social media, ads, etc. Systems are not a priority yet.

1 Lakh to 5 Lakh per Month

You have a steady stream of clients.

You're likely still working alone but starting to feel overwhelmed.

It’s real systems time.

Essential Systems:

• CRM: To manage leads and clients.
• Project Management: To track client projects.
• Task Management: For both client-related and internal tasks.
• Basic Automations: Simple automations like creating a project when a call is booked.
• Focus: Begin systemizing processes to manage workload better.

5 Lakh to 10 Lakh per Month

You start hiring

Essential to create documents explaining how to perform tasks. Your first SOPs.

Essential Systems:

• SOPs: Document every step of client interactions.
• Professionalized Lead and Customer Management: Automate task creation and assignment.
• Advanced Automations: Automate invoicing, contract sending, and client onboarding.
• Focus: Build systems before hiring to ensure new hires can work efficiently.

10 Lakh to 50 Lakh per Month

You likely have a small team, possibly full-time contractors.

Essential Systems:

• Hiring system: Manage the hiring process and track applicants.
• KPIs: Start tracking company KPIs and team KPIs to uncover failing areas in the biz.
• Expanded Documentation: Include company culture, values, vision, mission, and salary calculations.
• Complex Automations: Automate KPI tracking and other niche tasks.
• Focus: Maintain and improve systems to support team growth and efficiency.

As you can see, income levels help determine the complexity of needed systems.

The higher the income, the more systems we'll need.

This is a good rule-of-thumb guide for you to understand whether you’re overbuilding your systems or not building enough.

Remember:

• "You don't need to build everything in the beginning."
• "Build the system that a person is going to use before hiring him/her."
