As an Author, Speaker and Podcaster, managing time is crucial to my success. Brian Tracy, a renowned expert in time management , and productivity, offers invaluable insights that have transformed my life and business.
Here are the top ten time management hacks I have learned from Brian tailored to the needs of podcasters and really any other business.
1) EAT THE FROG
This was a huge game changer for me. One of Brian's most famous principles is to tackle the most challenging task first thing in the morning or as we say in the military "Do The Hard Shit First"
For podcasters, this could mean recording an episode or conducting an interview. By handling the most daunting task early, you free up mental space and build VERTICAL MOMENTUM for the rest of your day..
2) APPLY THE 80/20 RULE
The 80/20 rule, or Pareto Principle, states that 20% of your activities that drive the most impact and revenue for your podcast, identify the key activities that drive the most impact for your podcast whether it's engaging with your audience, producing high quality content, or marketing.
3) PLAN EVERY DAY IN ADVANCE
Spend a few minutes each night planning the next day. List your tasks in order of importance and allocate specific time slots for each, I use planners made by John Lee Dumas specifically for podcasters.
This practice ensures that you hit the ground running each morning with a clear plan, reducing wasted time and increasing productivity.
4) USE TIME BLOCKS
Time blocking involves scheduling dedicated blocks of time for specific tasks, for instance the first two hours of my day is interacting with my tribe and wishing them happy birthdays and commenting on and sharing their posts, my 12X hack.
For podcasters, this could mean setting aside time for scriptwriting, recording, editing and social media promotion.
This structured approach minimizes distractions and helps maintain a consistent workflow.
5) BATCH SIMILAR TASKS
Group similar tasks together to streamline your workflow. For instance, batch your email responses, social media updates, and editing into separate time slots, I set up my apps on phone this way too.
This reduces the cognitive load of switching different types of tasks and improves efficiency.
6) BUILD A BUNKER TO PREVENT DISTRACTIONS
Know my military people can relate. Creating a distraction free environment is crucial for success.
For podcasters like myself, this might involve setting up a dedicated recording space, turning off notifications during work hours, or using tools like noise cancelling headphones.
Minimizing interruptions allows for deeper focus, concentration, and better work quality and quantity.

7) STAY ORGANIZED
Yup I sucked at this, keeping your workspace and digital files organized saves time and educes stress and anxiety.
Use project management tools to track your podcasting schedule, store your scripts and notes in an organized manner, and maintain a clean and tidy work area. An organized environment enhances productivity and creativity.
8) SET CLEAR AND CONCISE GOALS
Having clear, specific goals helps you stay focused and motivated. I write my goals down daily. Whether it is increasing your listener base, securing more sponsorships, or improving content quality, defining your goals gives you purpose and direction.
Break down these goals into small actionable steps to make them more attainable. EAT THE SMALL FROGS.
9) LEARN TO SAY NO
If you are anything like me, you receive numerous requests for collabs, interviews, and events. While networking is important, it is so crucial to evaluate these opportunities and decline those that DO NOT align with your goals or values.
Saying NO when necessary helps you stay focused on your priorities.
10) SELF CARE: TAKE CARE OF YOURSELF
There is a reason why the average podcast lasts only 13 episodes, its called PODFADE or burn out.
Productivity is closely tied to your physical and mental well being. Ensure you get enough sleep, exercise regularly and, take vacations and breaks to recharge.
Maintaining good health boosts your energy levels and improves your ability to stay focused and productivity throughout the day. Remember you can not pour from an empty cup.
