Types of Technical Writing

Technical writing is an umbrella term that deals with various types of documents, each serving a unique purpose.

Each type demands a specific approach and style. For example, API documentation requires clear and precise language, while user manuals focus on simplicity and ease of use.

Let’s look at the most common types and see how each serves its purpose:

Essential Skills for Technical Writers

To excel in technical writing, you must have these key skills:

  • Writing and Communication: Clarity, brevity, and accuracy are crucial as writers are the medium between the product and its user.
  • Technical Knowledge: Understanding the product or service you're documenting. Always research and try to learn how to use the product to convey it as simply as possible to the user.
  • Research: Ability to gather and process information from various sources. Refer to competitors in the industry, analyze product features, and compare how their product documentation is written.
  • Attention to Detail: Ensuring accuracy and consistency. Be quick to spot errors and follow the same style that adheres to the product brand.
  • Adaptability: Tailoring content to different audiences and formats. Audiences will differ according to industries. If you’re writing developer documentation, cater to the needs and demands of how developers would want your documentation to be. The level of simplifying information varies depending on the audience.

Developing these skills will set a strong foundation for your technical writing career.

Tools of the Trade

Familiarise yourself with these tools to help you get started with technical writing:

Understanding User Personas

Technical writers create content for various audiences. Knowing your audience helps tailor your content to meet their specific needs and preferences.

Below are a list of common users that we cater to:

  • Developers: Require detailed API documentation and code samples.
  • End-Users: Need straightforward user guides and FAQs.
  • Business Partners: Look for high-level overviews and white papers.
  • Other Technical Writers: May need style guides and process documentation.

Tip of the Week: Practice writing for different user personas. Start by creating a simple user guide for a software feature. To learn more about each topic discussed in this newsletter, I have linked to external articles where you can find insightful and in-depth information.

As you gain experience, the skill requirements and tools can change. I’m only covering the basics here for aspiring technical writers!

Stay tuned for next week’s edition, where we’ll delve into the process of Document Development Life Cycle (DDLC) for creating effective user manuals. Until then, happy writing!

These newsletters are very useful even for experienced writers to fine-tune their basics. Looking forward to the topic on styles guide. Cause I personally find it difficult to memorise all the rules and principles of MSTP.
