Consolidating User Groups from Multiple Active Directories with SQL Scripts for Jira and Confluence

Consolidating user groups from multiple Active Directories can be a complex and time-consuming process, but with proper planning, collaboration, and execution, it can lead to improved workflow and increased efficiency. In this success story, we'll take a look at how I accompanied one of our customers to navigate the challenges of consolidating user groups from multiple Active Directories by utilizing SQL scripts, agile project management, and close collaboration with their customers, resulting in high customer satisfaction.

Initial Situation

Due to a change of domains, new user directories had to be connected in Jira and Confluence and the users had to be transferred.

This resulted in two challenges:

  1. User names changed because umlauts were resolved: No automatic 1:1 mapping possible for individual users
  2. Names of AD groups changed: Authorization assignment runs via AD groups. The groups can no longer be found or mapped after a renaming.

Customer Feedback

The above-mentioned problems were solved by Ahmet Kilic by adjusting individual user names and all AD group names via SQL script.

The problem was first explained and analyzed in detail in a joint, customer-oriented dialog. Ahmet Kilic then created the necessary scripts on his own.

Subsequently, Mr. Kilic started the first implementation of the scripts, initially in a secure test environment. The scripts were finalized and the results were checked in detail.

The last step was the final implementation in the production environment. The work was carried out outside regular working hours in a customer-friendly manner so that the implementation went unnoticed by employees.

Ahmet Kilic was available at all times for questions and assistance and implemented the migration in a 100% friendly, competent and professional manner.

What and How I did?

Strategic Planning

The first step in the consolidation process was planning. The organization in this success story took the time to understand the current user group structures in their Jira and Confluence systems, as well as the structure of their multiple Active Directories. This information was used to create a comprehensive consolidation plan that addressed potential challenges and allowed for a smooth transition.

SQL Scripts

To ensure a successful consolidation, I as a Senior Atlassian Expert with database experience over years utilized SQL scripts. By automating the consolidation process, I was able to ensure the integrity of data during the transfer and minimize the impact on customizations and integrations in Jira and Confluence systems. This allowed them to minimize the time and resources required for the consolidation, while still achieving their desired outcomes.

Agile Project Management

Agile project management was key to the success of this consolidation. I used an agile approach to prioritize tasks and ensure that all stakeholders were involved in the process and run the plan iteratively. Sure, Test cases are created and run after any of the change processes. This allowed for quick adaptation to changes and ensured that the project remained on track, resulting in a successful consolidation.

Collaboration with Customers

Another important aspect of the consolidation process was close collaboration with customers. I worked closely with my customer to understand their needs and ensure that the consolidation met their expectations. This close collaboration allowed me to address any concerns and ensure that the customers were satisfied with the outcome.

The organization in this success story was able to achieve this by utilizing SQL scripts, agile project management, and close collaboration with their customers.
