THE STREAM APPROACH TO PROJECT MANAGEMENT

Before we get started, let's get clear on what we mean by a logistics project. A project is multiple shipments which must be coordinated in sync to ensure a job site crew can receive product in sequence for installation or construction. These projects require just-in-time deliveries since they do not have the luxury of storing inventory. Most of our project clients serve the commercial construction industry and deliveries are going directly to active construction sites. These sites are constrained by limited access (think university or downtown settings), limited space or no space for storage, and meticulous timing requirements.

Every project we manage is unique and has its own set of constraints and considerations. But one thing stays the same: Our bulletproof project management process. Put simply, it works – and it supports us in building solutions no matter how complex the scope of work.

1. Gather the Details

This step is done by call or in-person. We start with the vision of the project. What is being constructed and what role does our client play in that construction? Although our clients are just one facet of a construction project – perhaps HVAC systems, roofing solutions, data center racking, structural steel, or wall panels – we learn what the finished product should look like and study the construction site location. We assess the ingress and egress to anticipate any challenges a truck may have going in and out of a site. We also gather information about the material we’re transporting so we can pair it with the right trailer type and consider over-dimensionality when it comes to permits and route surveys.

2. Digital Proposal

3. Site Survey

Before any shipments begin, we perform a site survey. We’ll send up to three of our project management experts to the job site at no additional charge, and they will assess the site, take photos, and walk the route that drivers will use to enter and exit the site. We recently walked the future site of a hotel in Tampa, FL. When we did, there was construction on one of the roads which would have made it impossible for drivers to enter through the proposed route. By doing site surveys, we overcome challenges like these before they become problems, ensure smooth truck access to prevent delays, and give our drivers a detailed gameplan so they can efficiently deliver your High Stakes Freight? every time.

Our site surveys also give us the unique opportunity to build relationships and strengthen communication with the on-site construction team. They’re able to put a face to the name and feel confident that we’re accessible and eager to help.

4. Kick-Off Call

A week or so prior to the project, we’ll do a kick-off call with everyone involved. This includes the shipping manager, project manager, project engineer, and the construction team. We lead the call to re-cap the game plan. On the call, we’ll detail what we saw on-site, highlight important information, review our client’s goals, and share how we intend to implement the game plan to mitigate risk. By the end of the call, everyone is on board and on the same page.

5. Site Assistance

Once we start shipping, we send our project manager to the shipper to ensure drivers are showing up on time and all communication channels are clear and active. We get eyes on the loading process and offer suggestions to reduce risk and increase speed. That way, future loads are shipped in accordance with the high standards of High Stakes Freight? and our clients can enjoy the peace-of-mind of knowing their shipments are in good hands.

6. Communication and Flow

The last step is when the project gains momentum and gets into a flow due to our thorough preparation, communication, and collaboration. If you notice, five of the six steps to High Stakes Freight? management happen before the project even begins. This is intentional. By deploying our proven project management process from the start, execution becomes easier. We handle any unexpected hiccups with ease, communicate with our clients, and ensure a stress-free, pleasant experience. 

We build a good cadence of communication, offer real-time tracking visibility, and keep all parties in the loop through status emails and updates. And although construction plans often change, we don’t believe our clients should have to stress about any logistical burdens with us on their side. Because we are prepared and intimately know every step of the project, we can be flexible and accommodating in our pick up and delivery schedules.
