In the fast-paced world of modern business, time is a valuable commodity, and finding ways to maximize efficiency is crucial. Recently, our company underwent a transformative shift in its approach to communication and collaboration. The result? A significant reduction in meeting time and a substantial increase in overall productivity.
At Surge Startup, we help companies in building their software products, during these years we have been exploring ways to better the software delivery. The better the software delivery process, the smoother the client journey. The smoother the client journey, the happier the customer.
I was never been in support of long meeting hours, until a major roadblock. Today we discuss how reducing the meeting hours helped us boost our efficiency by 100%.
The Old Meeting Culture:
Traditionally, our company, like many others, followed the conventional approach to meetings. Daily stand-ups, lengthy project discussions, and frequent check-ins were the norm. While these meetings aimed to foster collaboration, they often led to time inefficiencies, decreased productivity, and a sense of disconnection among team members.
Embracing Change:
Recognizing the need for a change, we introduced a bold and innovative strategy: a daily 5-minute stand-up meeting. The idea was simple yet powerful — a quick, focused update session that allowed team members to share progress, discuss any roadblocks, and align on priorities for the day.
The 5-Minute Stand-Up:
Our daily stand-up meetings have become the cornerstone of our newfound efficiency. Every morning, the team gathers virtually for just 5 minutes. During this time, each team member provides a brief update on their tasks, highlights any challenges they’re facing, and seeks assistance if needed. The brevity of the meeting ensures that discussions stay on point and that everyone is aware of each other’s progress.
Continuous Communication:
While the daily stand-up sets the tone for the day, our teams remain in constant communication throughout the workday via chat platforms. This real-time collaboration allows for quick queries, instant updates, and seamless information sharing. The shift to continuous communication has minimized the need for lengthy meetings, making the decision-making process more agile.

Strategic On-Call Approach:
Understanding that not all issues can be resolved through messaging alone, we adopted a strategic on-call approach. Instead of scheduling regular meetings, we now reserve on-call discussions for addressing major challenges or critical bug fixes. This targeted approach ensures that precious time is spent only when necessary and that team members can focus on their tasks without unnecessary disruptions.
Certain bugs need to be discussed on the call. Whenever that is needed, we get on calls immediately and fix the issue. These calls are generally quick and save tons of time.
Deadline Alignment:
Efficiency goes hand in hand with meeting deadlines. We’ve become more proactive in checking our progress against project timelines during our daily stand-ups. If misalignments are identified, the team collaboratively explores solutions to bring tasks back on track. This proactive approach to deadline management has significantly improved our overall project delivery timelines.
Results and Impact:
The impact of these changes has been nothing short of remarkable. Team members report higher job satisfaction, improved focus on tasks, and a greater sense of accomplishment. Project timelines have become more predictable, and the reduction in meeting time has allowed for a more concentrated and productive work environment.
The best part about this approach is a reduction in the saturation of our developers. At our organization, we are quite strict about deadlines. Strict deadlines are always accompanied by mental stress. I wanted to make sure that my team was not saturated after a project.
So in our journey to reduce meeting time and enhance efficiency, the key has been striking a balance between effective communication and strategic collaboration. The daily 5-minute stand-up, continuous chat communication, and a selective on-call approach have collectively transformed our workplace dynamics.
