Transitioning from the typical daily chaos that is often associated with running a business to operational consistency can easily seem daunting and overwhelming. The reality is that it doesn’t have to be that way if you understand what to expect and have access to some tools to help you along the way. That’s exactly what we’re going to walk through today.

The Need for Process Consistency

I believe everyone has an expectation of consistency and understands the need but generally we tend to be reactionary to the symptoms like errors or mistakes, and customer dissatisfaction rather than becoming proactive and adopting a systematic approach to process improvement.

Taking a proactive approach is a journey, not an objective. That’s the reason I believe we tend to stay in our reactionary state because it feels like we’re addressing problems as they’re happening, which we are but often not creating any preventative measures as we’re just addressing the immediate symptoms.

Step-by-Step Framework for Process Improvement

If we can start to think about process improvement as a continuous cycle where we seek small, incremental growth, it will put us into the right mindset. Using this framework and mindset has delivered more measurable results in my 25+ years of experience than anything else that I’ve tried!

Here is the breakdown of each step:

1. Identify and Map Current Processes: Gain a thorough understanding of your organization’s current processes. Identify key processes that need improvement and map out their steps and dependencies.
2. Analyze the Current Processes for Inefficiencies and Bottlenecks: Scrutinize each step of the process to identify areas where improvements can be made.
3. Set Goals and Objectives for Process Improvement: Set clear goals and objectives aligned with your organization’s overall strategic objectives.
4. Develop and Implement Process Improvement Strategies: Design new processes or modify existing ones to address identified inefficiencies and bottlenecks.
5. Monitor and Measure the Effectiveness of the Improved Processes: Collect data on key performance indicators (KPIs) and compare them to the baseline measurements taken during the analysis phase.

I wish I could tell you that you will meet no resistance as you work towards implementing these activities but that’s just not the case. Common challenges include lack of awareness or understanding, fear of job loss or role changes, lack of ownership or accountability, resistance from other management layers, and cultural resistance to change. The best way I’ve found to combat all of these challenges is by communicating early and often the ‘Why’ and ‘What’ before you get into the ‘How’.
