Static vs. Dynamic Data - Which is Better and Why?

When I consider the words static and dynamic, static reminds me of TV and radio when I was a kid, and dynamic reminds me of superheroes (they have dynamic powers and personalities) - one is distracting and fuzzy, the other is pretty darn cool!  As a tech company, we like cool stuff but realize that the world is full of fuzzy.  As BestMacs continues our mission to help small businesses become more efficient and save money through technology improvements, we thought that comparing static and dynamic data would be a relevant and helpful topic.

Static vs. Dynamic

In the world of data, static refers to something that is fixed and unchanging; it remains the same today as it was last month.  A good example of static is an attachment to an email - it’s relevant when you hit send, but it is forever preserved as-is, even if changes are made 30 seconds later.  Dynamic data continually changes after it’s recorded to ensure integrity and relevancy.  Consider the email attachment example - it’s static as a saved attachment, but it’s dynamic if it’s housed in a real-time, collaborative platform where teams can update and change it at will and not need to save and re-send attachments for each revision.

In a work setting, static data is often out of date as soon as it’s collected, which leads to wasted time and inefficiency.  Not only are there storage and distribution costs to consider, but static data also requires extra processing time and validation that what’s being shared is the most current version.  It makes collaboration challenging.

ZoomInfo wrote a great blog discussing static vs. dynamic data.  They summed it up nicely:

"Static data is often kept in separate silos and left to decay at the hands of the departments who need access to it. Dynamic data on the other hand is shared freely between departments and platforms—as it’s continuously updated and stored in a centralized location.”

They go on to say that the entire organization then “has access to identical information regarding customers and prospects. If a data set is truly dynamic, it takes less effort to achieve consistency across sales, marketing, branding, and more.”
