Spring cleaning isn't just a household ritual in the USA signaling the end of winter and the welcoming of fresh air through open windows. It's also a metaphor for the kind of deep, rejuvenating clean that can benefit our professional environments—extending particularly to HR and Training practices.
While we typically engage in more thorough cleaning than our usual household chores, like using a commercial-grade machine to tackle a year's worth of dirt trapped in carpets, applying a similar rigor to our professional practices can pave the way for a healthier, more efficient workplace. The below tips can help you with retention and organizational effectiveness. While they may seem aimed at HR professionals, they are also invaluable for people managers and small business owners.
Three Essential Tips for HR Spring Cleaning
1. Schedule PTO for the Rest of the Year
This includes everyone, yourself included. (Maybe especially you!)
All too often, PTO accumulates, leading to end-of-year bottlenecks that can strain operations due to insufficient staff to meet customer needs or complete year-end tasks. This can also dampen employee engagement, as frustration mounts over unused PTO, particularly with a use-it-or-lose-it policy in place.
To address this, start by obtaining a report of employee PTO balances, accessible to direct managers through most HR information systems (HRIS). If not, seek assistance from your HRIS administrator, who may be in-house or an external vendor.
Review your PTO policy to understand any stipulations, such as prioritization by seniority or a first-come, first-served basis. Then, discuss plans individually with your team, setting aside any date conflicts for initial discussions. Often, more flexibility emerges once all conflicts are laid out, facilitating easier resolution.
2. Schedule Major Project Deadlines Until the End of the Year
Leaders can easily overlook how the timing of major project milestones, particularly 'Go Live' dates, can conflict with public and school holidays, leading to tumultuous and disorderly launches.
Although eliminating overlap completely is challenging due to shifting project timelines, planning for critical launches when employee availability is highest—like avoiding the end-of-summer vacation rush in favor of a September date—can help smooth out these transitions.

3. Conduct a Q1 Budget Review
Take a closer look at your HR-related expenses. While monthly reviews are ideal, they may not always be feasible, especially for smaller businesses. At a minimum, aim for a quarterly review.
Evaluate costs associated with your HRIS and Applicant Tracking Systems (ATS) to ensure they align with your budget. If discrepancies arise, discuss potential savings with your HRIS vendor.
Also, assess litigation expenses and scrutinize all vendor contracts for services that are no longer needed or valued.
Lastly, if your budget allows, consider investing in training and development or team-building events, taking into account team PTO and project deadlines. These initiatives are vital for retaining top talent and ensuring a strong return on investment.
