Transitioning to a new facilities management (FM) service provider (SP) can be a complex and challenging process. However, with proper planning, open communication, and a collaborative approach, potential disruptions can be minimized, and a smooth transition can be achieved. This article shares insights from a real-life experience where a client successfully navigated the transition to a new FM service provider, despite facing initial challenges and a lack of cooperation from the incumbent SP.

?Understanding Transition in FM

?Transition in FM refers to the process of transferring the responsibility of managing and maintaining facilities from one service provider to another. This process is crucial as it ensures continuity of operations and minimizes disruptions to daily activities within the facilities. A smooth transition is essential to maintain safety, service quality, and operational efficiency and effectiveness during the changeover period and beyond.

?The Transition Experience

?As the current facilities management (FM) service contract neared its end, the client initiated a competitive bidding process for the FM services. The incumbent service provider lost the bid, and a new service provider was selected. This transition presented several challenges, as the outgoing service provider declined to collaborate by refusing to provide an overlap period for their staff. This overlap was deemed crucial for proper on-the-job knowledge transfer, ensuring a smooth transition and continuity of services.

?Planning & Coordination and Training

?To address these challenges, the client and the new service provider initiated a series of planning meetings to discuss and incorporate all necessary details into the transition plan. Unfortunately, the outgoing service provider declined to participate in these meetings. Another key step was to thoroughly train the incoming staff to ensure they could operate independently without needing guidance from the outgoing team. Safety was considered a top priority, and no compromises were made in this regard. Despite the lack of cooperation from the outgoing service provider, the transition plan was meticulously executed.

The Overnight Transition

?The transition involved a workforce of over 200 employees, with the outgoing staff leaving and the new team coming in overnight. Ultimately, the client managed to persuade the outgoing service provider to leave their supervisors to support the incoming supervisors and teams for a short period. Although challenging, the transition was carried out while maintaining safety standards throughout the process. No serious incidents occurred, and continuity of service was maintained without any disruptions. However, there was a slight drop in service quality initially, which was promptly rectified, and the service level was restored in no time. The team responsible for managing the transition was recognized for their efforts in bringing the new service provider on board without any serious safety incidents and without causing significant service disruptions.

Key Considerations for a Smooth Transition

Based on this experience, the following key considerations should be taken into account when planning a transition to a new FM service provider:

1. Develop a Comprehensive Transition Plan: Create a detailed transition plan that outlines all the necessary steps, timelines, responsibilities, and staff training requirements. Involve all stakeholders, including the outgoing service provider, in the planning process to ensure a collaborative approach.?
