Managing project information across tools like Costlocker (project cost management), Notion (note-taking), and ad platforms such as Google Ads or Meta is a crucial yet time-consuming component of project management.

Using AI to automate this task is yet another way to save your team some of their valuable time, and reduce the risk of human error.

AppAgent’s Growth Team recently explored using ChatGPT to streamline the creation of detailed status reports.

This automation (which we affectionately refer to as Mr. Deniso, named after our former colleague) not only enhanced internal operations but also significantly improved our client engagement by providing consistent, accurate updates.?

Here’s a deep dive into how this innovative tool works and the impact it has on our project?management processes.

1. Data Collection

  • Project Management Data: The tool integrates data from a CSV file that contains detailed project metrics such as status, timelines, ownership, budget, and KPIs.
  • Meeting Summaries: The automation also refers to a PDF containing transcripts from client meetings for insights from recent discussions that might impact the project's status or necessitate specific actions.
  • User Inputs: Active user input is essential to capture any new developments, ensuring the report is up-to-date and reflective of the current project state.

2. Report Structure

Operations Status: This section serves as the backbone of the report, showcasing data specific to the project's operations, such as:

  • Status: The current phase or condition of the project.
  • Timeline: Including start and end dates, with a calculated field showing days remaining.
  • Ownership: Identifying the project leader or responsible team.
  • Financials: Including budgeted hours, actual hours logged, revenue, costs, and the calculated profit.

Work Status: This part is more dynamic and tailored based on ongoing activities and user-provided updates. It includes detailed updates on:

  • Task Progress: Describing the advancement of tasks, including any completed or newly assigned tasks.
  • Upcoming Meetings and Calls: Information on scheduled interactions with clients or internal teams.
  • Budget and Spend Adjustments: Any changes to financial allocations or marketing spend.

3. Computation and Analysis

The system computes necessary figures such as:

  • Days Left in Project: By calculating the difference between the current date and the project's end date.
  • Profit Margin: It determines the profitability of the project by comparing revenue and costs, ensuring it meets predefined benchmarks.

4. Formatting and Consistency

Each report is formatted according to a specific template, ensuring consistency across all communications.

Symbols and formatting codes (like square brackets and curly braces) are used as placeholders or commands to incorporate real-time data and perform automated calculations.

5. User Interaction

To maintain the accuracy and relevance of the information, the system interacts with the user to:

  • Confirm Data Accuracy: Ensuring the latest data accurately reflects the true state of the project.
  • Gather New Information: Asking about recent developments or decisions that impact the project.
  • Clarify Uncertainties: Addressing any ambiguities in the provided information to avoid errors in the report.

6. Report Finalization

After compiling and formatting the report, the system presents it to the user. This step involves:

  • Review: Allowing the user to review the draft for accuracy and completeness.
  • Adjustments: Making any necessary changes based on user feedback.
  • Approval and Distribution: Once finalized, the report is ready for distribution to stakeholders, helping them stay informed about the project's status and next steps.

Through these detailed steps, the system ensures that the client status reports are not only accurate and up-to-date but also actionable and aligned with professional standards, facilitating effective communication and project management.
