Simplify Ticketing with Customizable Sequence Numbers on KonfHub

There are many aspects of events in which automation can help - for instance, assigning unique identifiers like bibs for marathon participants or sequence numbers for pre-printed tickets. KonfHub’s new feature for generating sequence numbers is all about that - customizable, easy, automated, and covers different scenarios of usage such as custom sequences based on attendee form responses! Let’s explore this interesting and useful feature in this blog.?

Customizable Sequence Numbers for Every Need

The sequence number generation feature allows event organizers to create unique identifiers tailored to specific needs. Whether you're organizing a marathon or issuing tickets for an international conference, you can now generate sequence numbers with ease. Here's why you can use sequence Numbers:

  • Efficiency in Event Management: Automatically assigning sequence numbers based on attendee responses saves time and ensures accuracy, allowing organizers to focus on other critical aspects of the event, especially in events like marathons where bib numbers are essential.
  • Customization and flexibility: The ability to create sequence numbers with a specific criteria, such as ticket type or gender, offers a control over the event logistics.
  • Enhanced Attendee Experience: Attendees receive clearly labeled tickets, reducing confusion and improving the overall event experience.

Scenarios/Use Cases?

Below are several use cases that illustrate how this feature can be utilized effectively:

Use Case #1 - Marathon Bib Numbering for Different Ticket Type: You’re organizing a 5k marathon with multiple participant categories, such as Competitive tickets, Non-Competitive tickets and Fun walk. You want to ensure smooth management and clear identification of participants. In such a scenario, generate sequence numbers based on response received from the attendees.?

Use Case #2 - Pre-Printed Cards for a Small event: You’re organizing a small conference with around 200 attendees and have pre-printed attendee cards with sequence numbers that match the tickets. These lanyards are sorted at the registration desk by sequence number. When an attendee arrives, staff simply checks the ticket sequence number and hands over the corresponding lanyard, eliminating the need for last-minute printing and ensuring a smooth check-in-process.

Use Case #3 - VIP Access Passes for a Concert: You’re managing a concert where you want only a few attendees to receive VIP access passes, to ensure that only those with valid passes can access the VIP areas and designated seats. In this case, you can generate sequence numbers for VIP Ticket holders mapping to VIP seat numbers, ensuring that each VIP pass is unique, allowing easy identification and access control. The numbering helps in managing the limited VIP seating and services, maintaining the exclusivity.

Use Case #4 - Team Based Coding Challenge: You’re organizing a coding hackathon where you want the participants to register as teams. You want to assign a unique sequence number to each team that will be used to track their submissions and progress throughout the event. For this event, you can generate sequence numbers based on the order in which team registers like TEAM001, TEAM002 and so on.

Having understood the various contexts in which sequence number generation is useful, let us now see how to generate sequence numbers in the KonfHub platform.?

Steps to Generate Sequence Numbers:

Step #1 - Navigate to Tickets: Navigate to the event info section of your dashboard and select the "Tickets" option to get started.

Step #2 - Click on Ticket Settings: On the right side, you’ll find the "Ticket Settings" tab. Click on it, and then select "Sequence Number" to access the feature.

Step #3 - Define the Sequence Details: Enter a name for your sequence that clearly identifies its purpose, such as "5K Marathon" or "Conference Tickets." Optionally, you can input a prefix like "5K" to be added to each sequence number for better categorization. Set the starting number for the sequence—input "001" to start the numbering sequence from 001. Choose how much each subsequent number should increase by, typically "1" to create a simple, sequential list. Finally, specify the minimum number of digits for each sequence number, ensuring consistency, like setting it to "3" for numbers like "001," "002," and so on.

Step #4 - Select Applicable Tickets: Decide which ticket types the sequence numbers will apply to. You can choose from "All tickets," or any combination of tickets.

Step #5- Set Attendee-Response Based Sequences: If needed, configure the sequence to generate numbers based on form responses from attendees, for instance, for a marathon, based on the gender.?

Step #6 - Integrate with Ticket PDFs: Enable the option to automatically include the generated sequence numbers on ticket PDFs, ensuring each ticket is uniquely identifiable.

Step #7- Assign to Unassigned Attendees: If there are any unassigned attendees, use the "Assign Sequence Number to Unassigned Attendees" feature to ensure everyone is accounted for.

Step #8 - Include Sequence Number in Ticket PDF:?

If you want the sequence number to be mentioned in the ticket, select the “Include Sequence Number on ticket PDF option”.?

Review your settings, then click "Save" to apply the sequence numbers to the selected tickets.?

Efficiency at Your Fingertips

With the sequence number generation feature, you can streamline event management, reduce manual errors, and provide a more organized experience for your attendees. Whether you’re managing a small community event, national marathon or a large international conference, this tool is designed to save you time and enhance your event’s professionalism.
