Microsoft Planner is an app that is part of the Office 365 that enables us to do task management for projects and Teams
How do i get to this app?
when you login in to the office.com you will see the follow screen
How can i Create a new Plan ?
when you Click on the Planner App (marked in Yellow) you see on the Left Three options
- New Plan - will create a new Planner for you from Starch or base on an Existing group
- Planner Hub - show you all of the Plans that you belong to and that you mark as favorite
- My Tasks - show all tasks that you are assign to (from all plans that you belong)
What do we see in The Board Tab
In the "Board tab" you can create "Buckets" and within each Bucket you can Create many Tasks.
How do i Create a new Task
By click on the "add Task" you can add the "task name " and "Set a due date" and "Assign "to a member of the Planner. once you are done Press the "Add Task"
Once the Task was created you can add additional information
- Bucket - what Bucket does this task belong
- Process - "No started" , "in Progress" , "Completed"
- Priority - Urgent ,Important ,Medium ,Low
- Note - Description of the Task
- Check list- are list of item that can be sub Tasks
- Attachment - File ,Link,SharePoint
- Comments- note that all of the member can add regarding the Tasks (are not overwritten)
- Label - you can assign a label Color to this Task
How does it look with many tasks
- For the "To Do" Bucket we have 2 task - one that the Due date has past (you can see that the date is in RED)
- it is possible to move y drag and drop from one Bucket to another
- if we mark the radio button where the name of the Task it will be "Completed"
Chart Tab
In the Chart Tab you can see some graphs
- Number of tasks and the Progress status
- Number of task within each Bucket
Schedule Tab
In this tab you can see in a Calendar view the Task base on the Due date of the task
Other Options (ellipsis button)
If you click on the Three Dots you will see addition options
- You can see the Member of the Group.
- You see all of the File that are store in a SharePoint Library
- You can export all tasks to Excel
- You can adjust the Plan Setting
Group by report
On the top left menu you will see the Group by report than let you see all task base on the presented options:
Assign to , Progress,Progress ,Label and Priority
Add Members (Users)
In the Top menu you can see Member Drop-down that there you can add all of the user that will be part of the Plan
What does a Planner create in addition ?
When a Plan it is created it also creates:
- Office 365 Group
- Group Mailbox (Email)
- Group Calendar
- SharePoint Site
How can i create a Plan from SharePoint
When you are in a SharePoint Team Site you can go to the "New" menu on Home page and then choose "Plan"
And then you can give the new Plan a Name or use an existing Plan instead
Now you will see in the Left menu the new Plan that was created and also see the Plan with in the SharePoint pages
