Sending Documents to Customers in Business Central

Efficiently managing document communication with your customers is a crucial aspect of maintaining professional relationships and streamlining operations. In Dynamics 365 Business Central, the Document Sending Profiles feature allows you to configure how documents are sent to each customer, enhancing ease of use and consistency.

1. Document Sending Profiles

Document sending profiles enable you to set a preferred method for sending sales documents to each customer. You can specify whether documents should be printed or emailed, as well as if they should be attached as a PDF or sent as an electronic document. This preference is then assigned to the customer and used automatically whenever documents are sent.



If you have assigned an email attachment profile to a customer, Business Central will use this setting automatically when you click the Send action on the document.


2. Sending Documents

Each document list page includes a Print/Send action at the top, allowing easy access to document-sending options. In this example, we’ll look at the Posted Sales Invoices page.


By selecting the Send option, you’ll be directed to the Send Document To page, which is pre-filled based on the customer’s assigned document sending profile. This page confirms the document will be emailed as an attachment.


Clicking OK will generate an email with the document attached, ready to be sent to your customer. While this example covers posted sales invoices, you can send various document types using the same method. The Document Sending Profile feature eliminates the need to configure the send settings each time you send a document.
