Securely Send Large Files with Password Protection in Microsoft 365 using Attach2Cloud

Do you need to send confidential files securely, but don't want to use an online cloud service or deal with complicated IT procedures? With Attach2Cloud for Microsoft Office 365, you can send files of any size (up to 250 GB per file) with just a few clicks and two levels of protection. In this step-by-step guide, we'll show you how to securely send files to your recipients using Attach2Cloud.

Step 1: Prepare your message as usual

Start by composing a new email message in Outlook, just like you normally would.

Step 2: Click on the paperclip (the include button) as you normally would

Click on the paperclip icon to attach your files to the email message.

Step 3: Select the files you wish to attach to your message

Choose the files you want to send, just like you normally would.

Step 4: Group the files (optional)

When you click on "Send," a window will appear that lets you group the files if you wish. This window can be configured, and so can the threshold for proposing grouping. For the purposes of this guide, we'll assume you want to create a single encrypted zip file.

Step 5: Define the name of the archive (optional)

You can choose to define the name of the archive at this stage, if you wish. In this example, we'll call it "New building."

Step 6: Secure your files

Next, you'll see the Attachment File Control Center, which allows you to define what you want to do with your files. Check the "Secure your files" box to set a password for your archive.

Step 7: Set the password for your archive

You can set the password strength rules as you see fit. In this example, we've chosen a password between 8 and 64 characters.

Of course, you can increase the password strength by adding rules, all of which can be configured in the product.

Step 8: Choose the permissions

The Permissions column displays all available permissions for the file. Among these, two options stand out as they offer an additional layer of security through Microsoft 365 link password protection: "Anyone can view + Password" and "Anyone can modify + Password."

By selecting "Anyone can view + Password," the recipient will be able to view the contents of the encrypted file after entering the correct password. On the other hand, choosing "Anyone can modify + Password" will allow the recipient to not only view but also modify the contents of the encrypted file with the correct password.

For this example, we will select "Anyone can view + Password" to ensure that our confidential files are only viewed by the intended recipient with the correct password.

In this step, it is recommended to set a different password than the one used to secure the zip file for added security. This way, even if someone gains access to the OneDrive link, they will still need a separate password to access the encrypted files. By choosing "Anyone can view + Password," the recipient will be prompted to enter the password before being granted access to view the files. It is important to communicate this password securely to the intended recipient through a separate channel.

Step 9: Send your message

Click "OK" and Attach2Cloud will take care of the rest.

Your files will be compressed and encrypted with AES256, using the password you set.

They'll be uploaded to the cloud and shared online with the permissions you chose.

And that's it! Your recipient will receive a message with a link to the encrypted files, and they'll need to enter the password you set to access them. With Attach2Cloud for Microsoft Office 365, you can send confidential files securely and easily, without having to rely on third-party services or complicated IT procedures.

Upon receiving the message, the recipient will open the attachment and be prompted to enter the access password for the OneDrive link that was set when choosing permissions.

Once the correct password is entered, they will be able to view the files contained in the archive. However, to access the files directly, they will need to download the zip file to their machine.

After downloading the zip file, the recipient can view its contents by double-clicking on the archive in their explorer.

It is important to note that the files inside the archive are encrypted and will require the archive password to be accessed.

When attempting to open one of the files, perform a drag and drop, or execute any other action, the recipient will be prompted to enter the archive password.

Once the correct password is entered, they will be able to access and use the files as needed.

Attach2Cloud for Microsoft Office 365 offers a quick and easy solution for securing your email attachments. However, its capabilities extend far beyond that.
