I had a fascinating encounter during my Monday clinic at the General Practice. It was a routine intrauterine contraceptive change, and the patient was singing my praises. She expressed her preference for seeing me specifically for the procedure, mentioning that this marked the fourth time I had performed it for her.
Initially, I was pleased by her appreciation but also taken aback. Fourth time? It seemed implausible. After she left, I decided to review her notes, and to my astonishment, she was indeed correct. Reflecting on this, I realized the passage of time; I've been part of the same practice for 18 years now. It was a moment of introspection, highlighting both the changes and the constants within the NHS system.
?Among the changes, one undeniable shift has been the escalation of workload, coupled with increased bureaucracy, fostering a sense of being in the hamster wheel. To transcend mere survival and truly thrive, it's imperative that we, as healthcare professionals, become masters of time management.
Here, I share insights gained over years of experience –tips, techniques, tools, and strategies aimed at reclaiming control over our schedules and fostering leadership within our organisations.
?
Let's dive into the first tool in our time management arsenal: time boxing.
?
What is Time Boxing?
Time boxing is like setting up mini time limits for tasks, giving them their own little boxing ring to duke it out in.
?
How Does it Work?
You allocate a block of time to tackle a specific task or project, like answering emails, answering phone calls, or catching up on paperwork. When the time's up, you move on, whether you're done or not. It's like setting and sticking to your time boundaries, helping you stay focused and productive.
?
Practical Tips for Implementation:
?
Set Clear Boundaries: Define the start and end times for each time box, and stick to them like glue. It is a very helpful tool for perfectionists as knowing that there is a set end time, will help you prevent overthinking.
Prioritise Tasks: Decide which tasks are most important and allocate more time to those.
Stay Flexible: Life happens, so be ready to adjust your time boxes if unexpected things pop up.
Take Breaks: Don't forget to schedule short breaks between time boxes to recharge your batteries and avoid burnout.
Review and Reflect: At the end of the day, take a moment to look back on how your time boxing went. What worked? What didn't? Adjust accordingly for tomorrow.
?
Benefits of Time Boxing:
?
Boosts Productivity: By breaking your day into manageable chunks, you're less likely to get overwhelmed and more likely to get stuff done.
Increases Focus: Knowing you only have a set amount of time to complete a task can sharpen your focus and keep distractions at bay.
Break Tasks into Chunks: You can break longer tasks into small chunks, making the task more manageable.
Reduces Procrastination: When you've got a ticking clock, there's less temptation to put things off until later. You're more motivated to get things done now.
Enhances Work-Life Balance: Timeboxing helps you carve out dedicated time for work and play, ensuring you don't burn the candle at both ends.
Challenges:
Restrictive: It can feel restrictive, especially when the time allocated is not adequate.
Unsuitable: It is not suitable for first-time, open-ended or deeper thinking activities.
Practical Application:
I use timeboxing for repetitive activities like looking at lab work results, and hospital letters and coding in the patient records. It gives me a sense of urgency and prevents me from procrastination and overextension.
So, give time boxing a try and see how it punches up your productivity and efficiency. It might just be the knockout strategy you've been looking for!
?
All right, let's dive into our second powerhouse tool for mastering time management: time blocking.
?
What is Time Blocking?
Think of time blocking as the art of building your schedule in Lego blocks. You chunk your day into distinct blocks of time, each dedicated to a specific task or activity. It's like creating a blueprint for your day, where every minute has its marching orders.

How Does it Work?
Picture your calendar as a canvas, waiting to be painted with blocks of color. You assign specific time slots for different activities, whether it's patient consultations, paperwork, or lunch breaks. By giving each task its time slot, you're able to maintain focus and avoid the dreaded multitasking trap. It is ideal for professionals, leaders and managers who are responsible for various tasks.
?
Practical Tips for Implementation:
?
Be Realistic: Don't try to cram too much into one block. Leave some breathing room between tasks to account for unexpected hiccups.
Stick to the Plan: Once you've set your time blocks, treat them like sacred appointments.
Mix it Up: Variety is the spice of life, so don't be afraid to mix different types of tasks throughout your day. Alternate between focused work, meetings, and breaks to keep things fresh.
Batch Similar Tasks: Group similar tasks together in the same time block to streamline your workflow. For example, dedicate one block to answering emails or making phone calls.
Stay Flexible: Life is unpredictable, so be prepared to adjust your time blocks as needed. It's okay to shuffle things around if priorities shift or unexpected opportunities arise.
?
Benefits of Time Blocking:
They are exactly similar to the benefits of timeboxing – improved productivity, focus, reduced stress and improved work-life balance.
Challenges:
1.??? It requires discipline to adhere to the plan.
2.??? There is always the risk of overscheduling (I am always guilty of it).
3.??? There is a risk of underestimating the task duration.
Practical Application:
I use time-blocking for bigger chunks of work where I need the flexibility to move the times around but need to allocate time to work on them. E.G my weekly cooking, and content writing for a week.
So, grab your virtual paintbrush and start time blocking your way to greater productivity and peace of mind. Who knows, you might just become a scheduling Picasso in no time!
Technology And Automation:
Our third strategy for time management is to consider using technology and automation at both work and home. From scheduling software to task management apps, these digital tools help streamline workflows and eliminate manual tasks.
While I will recommend embracing technology and automation, there is an art in looking after the patients. It should never be forgotten and the human touch is really important when dealing with people with various illnesses and should not be lost in getting things automated.
Technology and automation in the right places will allow you to reclaim control over your time and empower yourself to focus on what truly matters. So, why not let technology be your sidekick in the quest for better time management?
Conclusion:
Mastering time management isn't just a skill—it's a superpower. Through time boxing, time blocking, and harnessing the power of technology and automation we carve out space amidst the frenzy, reclaiming control over our schedules and our sanity.
?But beyond mere efficiency lies a deeper truth: in managing our time, we're not just managing tasks, but shaping our lives. We're carving out moments for connection, for growth, for joy. We're creating possibilities and opportunities in a world that often feels overwhelming.
So, let us embrace these tools not as mere instruments of productivity, but as catalysts for transformation. Let us wield them with intention, with courage, and with the unwavering belief that we are architects of our own destiny.
?In the dance between time and tide, let us become the captains of our career and life, charting a course towards a future where our time is not a constraint, but a canvas upon which we paint the masterpiece of our lives.
