The Roadmap – Stage 5 Process Review

Welcome to the TLS Continuum Change Maestro’s Roadmap newsletter. A new edition will be released every Tuesday on LinkedIn. It is by nature an interactive newsletter. What do I mean? My initial intention was the development of a dialogue pertaining to the concept of a change roadmap. I was looking for interaction between those of us here as to what each phase so far meant to you. It appears as though you would prefer to be passive readers, so be it. However, let me reiterate that as we progress through the roadmap if you have something you want to contribute, feel free to comment on any issue that perks your thoughts.
?The Process Review
Take a moment and see how we got to this point. We began two weeks ago with a discussion of how to determine our value proposition, once we understood what and why we exist for we took the steps to gain knowledge about our processes. We suggested that you gain that knowledge through the use of a tool called the Gemba Walk. ?The final step in the process so far is the building of a cross functional team.
Before we go on to the next major step we need to stop and smell the roses for a bit. We do this by utilizing a Process Fill Kit. The idea of the fill kit was introduced in the book Goldratt’s Rules of Flow by Efrat Goldratt-Ashlag (For the curious, she is Eliyahu Goldratt’s daughter).
The concept of the Fill Kit is not that hard to grasp but it should be used often during the roadmap. If this is correct what is a fill kit? We all know what a Ben Franklin close is. Take out a sheet of paper and draw a line down the middle. The left column should be labeled primary. The right-hand column should be labeled as secondary.
Having done that start with the gain knowledge area and list everything you needed to learn the knowledge. In the second column list everything you needed to gain that knowledge. Do the same thing with the cross-functional team. The goal is to ensure that every resource required is in place before we go any further.
Let me role play this out a bit. You are planning on painting your house what are you going to do first? On the primary side of the ledger, you need to choose the color of paint and then you are going to need to acquire the paint and the brushes. On the secondary side you will need to get the rollers or brushes, the paint pan, the tarps etc.
Now revert back to our roadmap and let’s look at the fill kit from that perspective.
Gain Knowledge
In completing the fill kit ask yourself
·????? whether or not you learned at least the basics about the processes?
·????? Did you observe all the system constraints and identified the causes for them?
·????? Were all the process resources in place?
·????? Were you able to identify the changes that need to be made?
Cross-Functional Team
·????? Was the team put together large enough to get the job done?
·????? Did you outline all the roles and responsibilities required for the team?
·????? Does the team have all the resources it requires to get the job done?
·????? Is management in full support of the effort?
·????? Are ALL the stakeholders and their interests represented?
Before going on to identifying the problem at hand, ensure that you can answer every one of these questions in the positive. If you can’t go back and gain further knowledge and reconstitute the cross-functional team. While time is of the essence, it does not mean that you have to rush to judgement. As we will see in the next step, the problem identification requires a certain level of competency to be successful.
