Hello,
To be successful in the dynamic world of data analysis, it is crucial to choose the right strategy for reporting and report distribution. Power BI offers several effective ways to share and embed reports within your organisation. In this newsletter we will look at the different methods, discuss their pros and cons and make recommendations on which method is best suited to different team sizes and user requirements.
1. sharing reports in Power BI Workspaces
Suitable for which end users: Ideal for users who are regularly involved in data collaboration and management and want to benefit from well-structured data access management.
Prerequisite for end users:
- Knowledge of the service area (navigation)
- Authorisations
- licences
Benefits:
- Enables efficient collaboration and centralised management of reports.
- Supports detailed access controls and user management.
Disadvantages:
- Can be overwhelming for new users due to the complexity of options and settings.
2. share reports in Power BI apps
Which end users are suitable for: Users who need simple, less technically complex access to reports and who are primarily concerned with viewing data.
Prerequisite for end users:
- Authorisations
- licences
Advantages:
- User-friendly and easy to navigate.
- Allows reports to be made available to a broad user base.
Disadvantages:
- Limited flexibility for subsequent customisation of reports by end users in managed self-service (if available)

3. embed reports in SharePoint
Suitable for which end users: Teams that are already tightly integrated with SharePoint and use a centralised platform for document management and reporting.
Prerequisite for end users:
- Knowledge of ShrePoint (how to use it)
- Authorisations
- licences
Advantages:
- Centralised access within a familiar platform.
- Good integration into existing document and information management processes.
Disadvantages:
- Limited flexibility for subsequent customisation of reports by end users in managed self-service (if available)
4. embed reports in Microsoft Teams
For which end users? Users who work in a dynamic and communication-intensive environment and need quick access to reports as part of their daily communication.
Prerequisite for end users:
- Knowledge of ShrePoint (how to use it)
- Authorisations
- licences
Benefits:
- Promote discussion and collaboration directly in the context of reports.
- Reports are directly accessible in the communication channels, which simplifies access.
Disadvantages:
- Can clutter the Teams environment and make navigation difficult if, for example, too many reports are pinned to one channel
Conclusion:
Each of these options has its specific strengths that can be utilised depending on the requirements and size of your end user. We recommend that you consider the needs of your end user and choose a strategy designed to increase your productivity and improve your data analysis. Use the flexibility of Power BI to implement an optimal report distribution strategy.
You might have some advice / shared experience on this one Kathrin. One client wasn't too impressed with forcing end-users to navigate the now very hairy Power BI / Fabric interface, or harbouring PBI App URL Favourites in their web browsers, but instead wanted a one-stop place to launch all reports, probably split into a kind of Organisational hierarchy. I kind of get it, right. A full blown global landing site (or Web design / website ) might work for this, although overkill to hire a designer just for that in a small org, like the client were. I've achieved something similar to this before either with images with links on one Power BI Report page, or using using "pinned" KPI Visuals to a Power BI Dashboard which worked well, but cant help feeling there is a better way for a global landing site to launch all cross-org reports.
