Rejecting Candidates Diplomatically

Telling a candidate that he or she was not the chosen one for the job can be intimidating for some, but it is a part of every hiring manager’s job. For companies that have an HR Department, this task is often handled by the HR Department.
However, in instances where the hiring manager is responsible for informing those candidates that they were not selected, here are some suggested talking points to use:
- “I would like to thank you for your time in interviewing for this position; however, at this time we have selected another candidate to fill this position. We will keep your application on file for X days, and consider you for future opportunities that you are qualified for.”
- “I sincerely appreciate your interest in working for our organization; however, we have selected a candidate whose qualifications better meet the requirements of the job.”
- The selection process is very competitive, and while we were impressed with your qualifications, we have chosen another candidate to fill the position at this time. We will consider you for future opportunities.”
When rejecting candidates, you can do this verbally over the phone or in writing. Following up with each candidate is important particularly because this effort contributes towards your company’s employer branding in the labor market.
