Now with the Pandemic situation, entire world is forced to re-think on the working model. We all are undergoing tough situation but thanks to the technology which is helping us to continue working virtually . Today I would like to share few tips for Organizations to ensure smooth way of working remotely with focus on productivity.
Recently Google extends work from home to its employees till 2021. There are many other companies which are supporting virtual way of working due to Covid-19 situations. Lets take this as an opportunity to re-imagine the future of working model.
?? Tips for effective way of Managing Virtual way of work??
?? Trust your Team ?? : First and most important thing for smooth functioning of a team in any organization is "Trust Factor". Never Micromanage your team it will lead to toxic work culture. Since now the future is more into Virtual way , how we effectively manage the team performance is the key and it will be done only by trusting your team.
? Allocation of Tasks ? : Focus on planning the task allocation among the team with realistic timelines for completion. Competency and behavior matrix needs to be assessed before assigning the tasks to each individual. Talk to each team member to understand their ideas or thought process in performing the tasks. Allocate realistic timeline and prioritize the projects to avoid stress for the team.
? Build Home Office ? : Organizations must take initiative to help setting up effective Home-Office environment to enable employees work without any hassles or issues. This can cost few bucks but thinking about long term benefit it is sure shot recommended way for safeguarding employee health and wellness.
??Fun and Connect ?? : Ensure to create some fun elements with events focusing on fun based learning to the team. This will help as stress buster and build effective bonding among the team members. Weekly or Bi-Weekly conduct some fun quizzes, Team building games virtually, Dig at talent etc . Stress buster will improve the productivity effectively and efficiently.
? Care with Assurance? : Amidst this Uncertain situation organizations must focus on Creating a sense of assurance with the employees. Most the companies started Layoffs of the employees who have been part of organization success for years. Never loose the talents, this is the time to stand with them and create job security . Take care of employees during this critical situation and they will surely take care of the organization . Cost cutting can happen on other focus areas so never limit it to employee centric.
?? Allow Regular Breaks ?? : Everyone needs a break to recharge themselves. Organizations must encourage regular breaks for its employees. These breaks will help employees spend quality time with their family and rejuvenate themselves to bounce back with much higher productivity in work. Since travelling is not allowed due to pandemic atleast organization can start giving breaks with bonus to encourage the employees .
?? Performance Management?? : Organizations must re-think the traditional performance management process due to Pandemic . Reasonable relaxation must be considered on performance of employees since current work model is targeted virtual way. Time sheets no longer will be key matrices to evaluate the performance , However the focus must be on behavior , attitude and timely complete of assigned projects with efficiency and effectiveness.
? Yoga and Meditation? : Organizations can start focusing to conduct virtual classes on Yoga and Mediation to its employees. This will help employees improve their health both physically and mentally thereby increase the rate of productivity. Healthy work environment is the key and this can also be attained virtual way. Organization must start investing in this one of the most important aspect for long-term benefits.
? Avoid Pay cuts ? : Salary is the most critical and much needed factor for any employee. Just think if there is a salary cut it will effect the financials of the employee and in turn it will affect the organization growth . Focus on reducing other costs and pay 100% to the employees who are the real assets for any organization.
?Mentorship & Coaching ? : Allocate Mentor for each individual to boost their talents. organizations must invest time and money to encourage its employees focus on learning . Virtual / online classroom based training methodology can be leveraged more to enable employees invest their time during this uncertainty to upgrade their skills and competencies. Mentors should focus on building strong relationship with their Mentee to help assisting them with required developmental training , coaching them with skills that are needed to grow over the career ladder.
?? Rewards & Recognition ?? : Timely recognition of the right performance and behavioral aspects is the key to boost the employee performance. Ensure timely and ongoing constructive feedback model is in place to ensure that the pulse of the performance is monitored from time to time and focus on improvement areas for each individual with a win-win situation between company and employees. Rewards must be in place to award the outstanding performers even in virtual way. Non-Monetary or Monetary rewards can be designed in this regards with main focus on developmental plans.

Virtual Ideas ? : Organization can plan to setup an environment to encourage new ideas and innovations that can help the team function in much more effective way by leveraging on technology that will ease the functioning to great extent. Pandemic has provided much time which can be utilized in a much more efficient way that will boost the employee performance and organization growth in positive way.
?? Survey & Feedback ?? : Ensure timely survey is conducted to pulse the employee perception and focus on their pain areas to resolve them on time. Survey is better way to monitor the progress of the individual and company. Effective communication is key to ensure positive Work culture even in virtual way of working. It creates sense of trust and belonging among employees and will increase the sense of loyalty .
Conclusion : ?? Pandemic situation is not going to be permanent . But this has laid foundation to re-think the working model by appropriate use of technology and resources. Organizations must create a sense of responsibility both ways - Employees vs Organization. Create trust and transparency in process with the employees and create pathways for career advancement and work-life balance.
