Putting team development and wellbeing first with a brand new employee portal

We look back at an enormous (and exciting) project that we recently completed for long-term clients, Skill Scaffolding: a brand new employee portal.

We couldn’t count the amount of websites we have designed and developed over the last eleven (!!) years. And we love it. Every single piece of code – every tweak – every ‘a-ha!’ moment. But, now and again, something more unusual comes along and gives us a real?buzz.

Step on in,?Skill Scaffolding. A client we have supported for a loooong time, watching as they’ve expanded, transformed and explored brilliant new avenues as a business. They’re pretty damn awesome, and we love being their web designers of choice.?

Most recently, #TeamSkill came to us with a project that was a tad different. One of their key company values is staff wellbeing. And they’re brilliant at living up to that value. They wanted to add an extra layer to their staff development and wellbeing programme by building an employee portal. The portal would be a one stop shop for training, announcements, resources and employee accounts and registration.

So, they had the idea and they knew precisely what they wanted. It was time for LBB to get our hands dirty.

A fully integrated, branded and user-friendly portal to fulfil all employee needs.

Up until this point, Skill had been using a CRM through an external company to manage their training videos. However, it was hard to adapt and didn’t really fulfil their needs. Plus, it was tricky to navigate and far from user-friendly.

We therefore knew from the get-go that the new employee portal needed to be:

  • Easy to adjust
  • Scalable
  • Simple to use
  • Super streamlined

Luckily, we had a robust plan to get cracking. We would build the portal using a combination of?MemberPress?and?LearnDash?– a great?WordPress?integration that would enable us to collate all training videos, courses, exams and certificates, as well as the capability to complete personnel forms, site documents and even manage scaffolding site jobs.

There was a lot of tech going on behind the scenes which we could really get our geek on with. We used an API to connect the training videos to the site (through LearnDash) and then the videos were hosted on a training platform – this is now a slick, automated process. We also designed an employee dashboard for admin users: this meant that they would be able to see all site jobs that had been completed, as well as courses and information from any forms completed when someone new joined the company.

Of course, we seamlessly embedded the Skill Scaffolding bold and recognisable branding, making the portal look like a natural extension of their website (which we –?cough cough?– also created).?

There are LOADS of nifty additions to the portal – and the team are already benefiting from its many uses.

When a user completes a course, they immediately receive a certificate. At the same time, admin gets an email to tell them that this specific employee has ticked the course off their to-do list. What may seem like a small step saves EVERYONE time… And it’s a lovely boost for the employee, too.

For new employees, they can sign themselves up to the portal as soon as they join the company. This kickstarts their enrolment process, including induction training, forms and certificate uploads. Simple. Succinct. Just how we like it.

In addition, job sites can be easily altered; admin can also add more job sites to the portal as new projects come in – this is super useful as it means that when an employee searches for information on the project, it’s already there ready and waiting. Plus, site drawings and documents can be uploaded, further ensuring the employee has everything they need when preparing for a job. Once the job is finished or ready to handover, the employee can complete the handover through the portal. We recreated Skill’s usual PDF forms for this and shifted them in a straightforward form that they can fill out directly on the website. Once completed, the form saves as a PDF and can be downloaded, printed and stored.

Got an announcement? Amazing – admin can send it straight out on the portal. The entire company will automatically receive an email with the announcement, deepening the sense of community and support that #TeamSkill is already so good at.

One of our?personal?favourite things about the new portal is that it’s?all online. This means way less paperwork to carry around and a considerably more eco-friendly approach to employee communications.
