Proposal secret weapon (when used correctly)?

Picture this... ?

You've been working for weeks preparing for the holiday. And the food -- you've been expecting the big meal since the second your Thanksgiving leftovers were gobbled up. A beautiful golden turkey, mashed potatoes, cranberry sauce, and green bean casserole. There's plenty of cranberry punch for the kids, but no one brought the ingredients to make the sparkling apple cider. And there's no turkey. ?

And you realize responsibilities weren't clearly communicated, and now the entire feast is ruined, and your family is hangry! ?

The same thing can happen if you try to start a proposal without a responsibility matrix. ?

The responsibility matrix (also called the Division of Responsibilities by our friends in the EPC industries) is my secret weapon -- but it must be used correctly.

It can be the foundational tool for success in addition to the proposal schedule. ?

It helps our team divide and conquer so we know who has which piece of the proposal covered, and it keeps everyone informed on due dates and timelines. ?

There is no need to overcomplicate it, a simple Excel or Word file can take every part of an RFP proposal requirement and assign who is responsible, the lead writer and support team, due dates, any notes from the kickoff meeting, and notate any scoring. ?

When properly executed, it will free you from the need to constantly go back to the RFP for every question. The responsibility matrix is a quick reference that should be accessible to the entire team. ?

If you want to avoid triple green bean casseroles and no turkey for the holidays, make sure there's clear communication with the family on who has each part of the meal covered. ?

And if you want to avoid costly mistakes, missed deadlines, and major headaches on your next proposal, use a responsibility matrix. ??
