The Productivity System

The Productivity System

How to make 10x more with the same effort.

Estimated Reading Time: (4-9 minutes)

When thinking about productivity...

We’re hardwired to think that time input equals productive output.

We insert x units of time & we get x unit of result.

(Example: pay rate)

We think that the only way to be more productive…

Is by scheduling our day in “time intervals”

This is something that has been taught to us since we were very little.

  • Get to this place at this time.
  • Class from this time this time.
  • And so forward.

In terms of being an employee…

This works extremely well to manage people.

The problems come when you stop being an employee and become:

  • Freelancer
  • Contractor
  • Founder
  • Business owner

Or an entrepreneur as a whole.

Most people will tell you:

"That's why you need to be more efficient, so you can accomplish more with the limited time you have."

But there's a big difference between "getting more done"…

And having more time and space in your life.

Since the responsibilities of being an entrepreneur are never-ending,?most people become more efficient only to fill any new space in their calendar with more work.

When I was 19, I didn’t realize this.

I was working 12-hour days on my business and was burning out. With little to no significant results in terms of revenue & profits.

AKA: wasting my time on non-important stuff.

Ironically, I did everything my time management books told me to do.

I thought I’d figured out how to be productive...when in reality, I got it all wrong.

I had no control over my time. I had no freedom.

Same thing as being an employee.

Nothing changed…

A couple of years later, when I started Wealth Scaling, I was determined to figure out how to leverage productivity to take my time BACK...

...not just add more tasks to my plate.

Or having my calendar about to explode.

With this as my goal, I finally uncovered the missing pieces.

The result?

Over the past 3 years, I’ve reduced my hours from 60 hours a week to 3 hours per day.

I hired my team, built systems, and eliminated unnecessary projects.

But the biggest change wasn't external.?It was internal.

Today, I'm more productive than ever.

In today's newsletter, I will show you how you can achieve the same with my 4-step productivity system:

  1. Audit your productivity (King’s Audit)
  2. The difference between Energy Management & Time Management.
  3. Keep your “worst-self” from sabotaging you (Mindset)
  4. Do less & get more.

This helped me go from 12-hour days to 3-hour days... and it can do the same for you.

That being said, let's dive in:

Effectiveness vs. Efficency

Becoming more productive comes down to 2 important skills:

  • Effectiveness:?Knowing what to work on
  • Efficiency:?Doing the work

Effectiveness comes from clarity.

Reflecting on priorities.

Looking at everything you do and identify the most important things.

Efficiency comes from discipline.

Discipline means empowering your long-term self over your short-term self.

For me, it was realizing that I am the biggest bottleneck to my productivity.

This is also tied to motivation.

Something that all entrepreneurs struggle with.

Sometimes you just don’t feel like doing the extra stuff.

Write that piece of content for tomorrow.

Or write that SOP for the sales team.

With discipline…

You don’t need motivation to do anything.

You just do it.

Unproductive habits stem from self-sabotaging behaviors:

  • Poor prioritization
  • Procrastination
  • Lack of sleep
  • No exercise
  • Junk food

These destructive habits have one thing in common:

Your “worst-self” picks comfort over your long-term best interest.

Your “worst-self” is that voice inside that justifies everything.

Is that voice that always wants you to be lazy, sit back, and do nothing.

That’s why systematizing productivity means revoking the authority of your worst self.

The system I’m about to share with you does this through a 3-step process:

  1. The King’s Audit
  2. Energy Management & Time Management.
  3. Implementation Plan

1) King’s Audit

You need a goal to change.

That’s why my first step in the Productivity System is defining how I manage my time.

>>> Get my system template inside this Notion

Here's how you use it:

  1. Copy the document by clicking “Duplicate” in the top right corner
  2. Fill in your own info.

Important Rule:?You’re not allowed to add any rows. Max 4 items each morning/afternoon.

Creating your most productive week is about:

  1. Knowing yourself
  2. Creating routines that empower you to be your best and most-productive self

Everyone is different, but this is the day structure that I’ve had the most success with:

Mornings are for deep work

Most people never get into focus mode.

The average employee gets interrupted every 3 minutes.

And it takes them 23+ minutes to refocus.

Crazy.

That’s why deep work is a superpower.

1 hour of deep work is better than 8 hours of shallow work.

Block off 2 hours in the morning to work on 1-2 needle-moving tasks.

During this time, become?unreachable:

  1. Use app/website blockers to lock yourself out of comms
  2. Phone on airplane mode (even better, lock it away)
  3. Sit and work by yourself

Make time for deep work.

Afternoons are for shallow work

The more time you can spend on deep work, the better.

But unless you are a monk, chances are you need to do shallow work, too:

  • Meetings
  • Managing
  • Small tasks
  • Communications

Use your afternoons to knock off these tasks.

They tend to be draining, so try to get through them FAST.

After your deep focus session.

  • Take a break.
  • Go for a walk.

Come back in the afternoon and clear all tasks.

  • Call that person
  • Send that pending email
  • Clear that LinkedIn inbox.

Evenings are for recharging

The quality of your rest determines the quality of your work.

Optimize yourself before anything else.

Entrepreneurs are like athletes.

My 3 non-negotiable recharging protocols are:

  1. 8+ hours of sleep
  2. 1+ hour of exercise a day
  3. No screens after 9 pm?(side benefit: you’ll read more)

Your mind & body are your most important asset.

2) Time Management vs. Energy Management

Time management is all about cramming as much as possible into your schedule, but energy management is about making the most of your limited resources.

Here's the difference:

Time Management:

  • Treats time as a finite resource to be optimized
  • Focuses on productivity hacks and tight schedules
  • Can lead to burnout if you overextend yourself

Energy Management:

  • Recognition of your energy levels and flow states
  • Prioritizes self-care and sustainable habits
  • Aims to work smarter, not harder

Why Energy Management is the way to go:

  • You can't force high performance - it comes from managing your energy
  • Allows you to stay focused and engaged during key tasks
  • Builds in recovery time to recharge your batteries
  • Leads to better work-life balance and overall well-being

Even if we structure our day on time intervals…

(AKA: is gonna take me 30 mins to finish)

We need to have in mind the levels of energy that you’ll have at any time of the day.

Here’s is a video explaining this concept:

Energy Management

3) Implementation Plan
