Procurement Technology: Artificial Intelligence

Procurement Technology: Artificial Intelligence

To complete this review of the current state of the of Procurement in the digital space, and after talking about data management and automation technology, it is time to round it up covering AI.

I probably would not have enough of a book to cover AI and how it could change our entire procurement landscape in the next five years. While I don’t have the expertise to deep dive into all the complexity, let’s try to understand what we are using AI for in procurement as of now and what are the promising avenues.?

?What is AI in Procurement?

Artificial intelligence (AI) is significantly transforming the field of procurement, enabling smarter and more efficient decision-making. AI is a software solution aimed at resolving a specific task. When you think of AI, look beyond the hype and consider it as a new type of software. Let's delve into key areas AI can support Procurement:

  • Make better decisions – AI can provide timely analytics and data-driven insights to make better sourcing decisions.
  • ?Identify new opportunities – shifting through vast amounts of data, AI can uncover new savings or revenue opportunities.
  • Automate manual tasks – AI can automate many time-consuming tasks, such as monthly processes, or Procurement performance reporting.
  • ?Free up time – by taking care of more routine tasks, AI can free up Procurement resources for more creative or strategic activities.
  • ?Get Market insights – AI can help to capture and aggregate relevant sources of data and support building category strategies.
  • ?Identify new suppliers or markets – with access to vast amounts of external data, AI can help identify new suppliers and provide recommendations.

In summary, AI is enhancing our current way of working by streamlining processes, improving decision-making, and addressing complex challenges faced by procurement teams.

What are some concrete examples already live?

Let’s get to the next level of details and look at what some technology firms are currently deploying in several areas:

Analytics & Intelligence:

  • Spend Analytics Software: AI-powered tools analyze spending patterns, identify cost-saving opportunities, and provide insights into procurement data.
  • Demand Forecasting: AI algorithms predict future demand based on historical data, helping organizations optimize inventory and procurement.

Sourcing Management:

  • Strategic Sourcing Solutions: AI assists in supplier selection, market analysis, and negotiation by evaluating supplier performance and risks.
  • Supplier Risk Management Tools: AI monitors and identifies potential risks across the supply chain, such as emerging supply shortages or disruptions.

Contracts & Financial Management:

  • Contract Management Solutions: AI automates contract review, extraction, and compliance monitoring, ensuring adherence to terms and conditions.
  • Accounts Payable Automation Systems: AI streamlines invoice processing, reduces errors, and accelerates payment cycles.

Supplier Management: AI evaluates supplier performance, assesses compliance, and recommends optimal suppliers based on data-driven insights.

Content Management: AI-Enhanced Document Management: AI extracts relevant information from contracts, invoices, and other documents, improving efficiency and accuracy.

Purchase Requisition to Payment: Automated Purchase Order Approval: AI reviews and approves purchase orders, ensuring compliance with policies and reducing manual effort.

Expense Management Solutions: AI automates expense reporting, detects anomalies, and ensures policy compliance.

Travel Management Optimization: AI analyzes travel data to optimize travel expenses, booking, and compliance.

Remember that AI in procurement is an enabler, enhancing existing solutions rather than being a standalone application. These examples demonstrate how AI can improve operational efficiency and decision-making in procurement processes.

Beyond the hype, it's essential to recognize AI as a powerful tool that empowers procurement professionals with timely insights, automation, and market intelligence.

Many thanks Nicolas. One interesting observation is that all the applications mentioned are not new. 15 years ago we were already aiming at harnessing the insights of our data, at optimising our processes in order to focus more effort on higher value add activities. It raises some fundamental questions : 1) why is it taking so long to gain the full benefits of somewhat basic applications?, 2) is the financial tech investment made in Procurement substantial enough to close the gaps?
