Today, we're excited to share some design insights that will help you take your ideas to the next level. Whether you're pitching something to your boss, launching a new business, introducing a product to market, or seeking investment, presenting the information confidently will bring your ideas to life and captivate your audience.

As a Creative Director, I've had the privilege of leading the creative + design processes for thousands of presentations, media pitches, and marketing proposals for globally recognized brands. Throughout my experience, I've encountered a common challenge: striking the perfect balance between storytelling, visual appeal and practical functionality. And I've heard from many of you that time is the biggest constraint, leaving little room to explore beyond familiar presentation templates and typically cobbling together slides we've used before.

This challenge motivated my co-founder and I to collaborate on a project dedicated to empowering up-and-coming brands, marketers, and entrepreneurs with the tools and resources to help ideate, craft killer ideas and design captivating presentations. It's about crafting a compelling narrative that deeply resonates with your audience, elevates and enhances your ideas, and ultimately leaves a lasting impact. Slides must be easy on the eye and the brain. The first and most important principle is readability.

The first principle of effective presentation design is readability. Here's how to do it:

  • Utilize white space: Just like a room filled with clutter on Extreme Hoarders can feel overwhelming, a slide overflowing with content can deter your audience. The incorporation of white space around your text prevents it from appearing crowded. TIP: Leaving a margin around your text can enhance readability significantly.
  • Keep it succinct: Dense paragraphs can be daunting. Aim to limit your sentences to about 12 words per line. This makes the content easier to digest. TIP: Instead of a lengthy paragraph, consider using bullet points or buckets to present your points concisely.

Effective presentations simplify complex data or concepts. Here's how:

Not only does this rule of 3's approach make your slide visually appealing, but it also makes the information easier to comprehend and remember.

Establish A Visual Consistency + Incorporate Your Brand Identity

Your presentation should tell a coherent visual story. Here's how:

  • Consistent Backgrounds: Using the same background or slide frame across slides can make your presentation feel unified. TIP: A simple solid color or gradient can tie your slides together.
  • Use Visual Hierarchy: Guide your audience's attention by utilizing visual hierarchy in your design. Highlight the most important elements using size, color, or position to create a clear visual hierarchy. This helps your audience quickly understand the order of importance and navigate through your content. TIP: Increase the font size of your main headings or use a contrasting color to make them more prominent. Use smaller font sizes or muted colors for secondary points or supporting information.
  • Brand Elements: Incorporating your brand colors or fonts can contribute to visual consistency and reinforce your brand identity. Choose a cohesive color palette, typography, and graphic style to create a consistent visual theme throughout your presentation. Consistency helps establish a professional and polished look, making it easier for your audience to follow and understand the content. TIP: Select a consistent set of colors that align with your branding or the mood you want to convey. Use the same font styles and sizes consistently across all slides to maintain a harmonious visual flow.


Fonts & Line-Heights Matter

When it comes to choosing fonts for your presentations, it's important to consider readability, especially at smaller sizes. Fonts with higher x-heights, which refers to the height of lowercase letters, are generally easier to read. They provide more space within the letterforms, making them more distinguishable and legible.

Example: Higher x-height fonts include Ariel, Roboto and Verdana

Additionally, proper line-height plays a crucial role in the overall readability of your text. A line-height that is too tight can make the text appear congested and difficult to read, while a line-height that is too loose can disrupt the unity of a paragraph and make it harder for the reader to follow along.

To illustrate this, let's look at an example: two lines of text with the same font size, but different typefaces. You may notice that when we swap out one typeface for another, they don't sit in the same vertical position. This is because typefaces can have different x-heights, which affects the overall spacing and appearance of the text.

By choosing a typeface with a larger x-height, you can allow for more top and bottom space within the letters, enhancing legibility and readability. This extra space can make a significant difference, particularly when working with smaller text sizes or longer paragraphs.

TIP: When selecting fonts for your presentations, consider prioritizing those with higher x-heights and ensure that the line-height is appropriately set to create a visually pleasing and readable composition. Pay attention to the space the typeface needs to breathe, and adjust type sizes and line height accordingly. With these considerations in mind, you can effectively enhance the legibility of your text and create presentations that are visually appealing and easy to comprehend.


Context is Key. Your Audience + Purpose Should Guide Your Design Decisions.

When it comes to presentation design, understanding your audience and purpose is paramount. Tailoring your design choices to match the context can make a significant impact.


These may seem obvious, but you should consider these examples:

  • Corporate Audience: If you're creating an Annual Report for a conservative corporate bank, it's important to choose a color scheme that aligns with their brand and exudes professionalism. Opting for a deep blue color scheme rather than a playful hot pink would be more appropriate and instill a sense of trust and reliability. Facts, Figures and Charts should be used.
  • Tech-Savvy Audience: This calls for a modern and sleek design. Utilize clean lines, minimalist aesthetics, and contemporary fonts to resonate with their tech-forward mindset. This approach not only captures their attention but also aligns with their preferences and expectations. Data is important, so consider infographics.
  • Demographic Considerations: When designing a presentation for millennials, it's crucial to prioritize visuals over text. Large headlines and visually appealing graphics can quickly grab their attention and maintain their engagement. Keep the content on your slides concise, using bold and easily readable fonts. The key is to make the information easily digestible and visually impactful.

By considering your audience and purpose from the outset, you can design presentations that resonate and connect with your viewers. Remember, the goal is to create an immersive experience that effectively communicates your message and captures the attention of your target audience. Let the context be your guide in making design decisions that leave a lasting impression.


Optimizing Presentation Design for Impactful Communication

To create a truly impactful presentation, it's essential to ensure that your design is tailored to the specific viewing environment. Effective presentation design is a delicate balance of aesthetics, readability, content organization, and context.

Before you finalize your presentation design, take the time to test it in the actual environment where it will be viewed. Consider whether it will be displayed on a large conference screen, printed as a document, or viewed on a mobile device. Where is your reader most likely going to review the information? By putting yourself in the shoes of your audience and experiencing your presentation from their perspective, you can make necessary adjustments to optimize the visual impact and functionality of your slides.

Remember, a visually appealing presentation is just one piece of the puzzle. The ultimate goal is to effectively communicate your message and engage your audience. By ensuring that your design is well-suited to the viewing environment, you can enhance the overall experience and leave a lasting impression on your audience.
