The Power of Well-Designed Systems in Modern Business
Many companies are now recognizing the value of well-designed, efficient systems. Whether it’s a major ERP implementation or a smaller software solution, the drive for systems that are not over-engineered but meet core business needs is paramount. This approach not only ensures smooth operations but also aligns with key compliance requirements.
One of the essential principles in creating these systems is simplicity. In a special edition of The Never-Ending Climb, I had the pleasure of being interviewed by EJ Kosec, where we spoke on this topic and how over-engineering can be detrimental to organizations. There’s a need to keep systems lean, fast-moving, and equipped with strong business controls that fulfill compliance obligations. As mentioned in the interview, “Humans are messy. They’re not particularly good at being ruthlessly consistent, but systems are.”
Why Simplicity Works
The key to business systems lies in their ability to handle tasks that require consistency, precision, and adherence to rules—areas where humans often fall short. Tasks such as data entry, audits, and compliance processes can be fraught with human error. Systems, on the other hand, excel in consistency. By automating these tasks, businesses can ensure accurate, reliable outcomes that allow human employees to focus on areas where they thrive—creative problem-solving, relationship building, and strategic thinking.
This balance is critical. Humans still have the edge when it comes to creativity and the dynamic relationships required to keep teams and organizations running. However, systems are superior in executing repetitive tasks with precision.
Moving Beyond Basic Automation in Procurement Orchestration
Procurement orchestration is no longer just about creating efficiencies in manual tasks like data entry or document management. It’s about ensuring that processes such as Purchase Order (PO) creation and inventory management are automated and integrated across multiple systems.
Orchestration needs to go beyond simply handing tasks over for manual entry or relying solely on API calls. Instead, tools like Rio, an AI-driven agent, can be deployed to handle the more complex and repetitive processes. For example, Rio can create POs in multiple systems, manage inventory, and handle three-way matching across different departments, reducing human error and allowing for faster, more accurate transactions.
This ability to orchestrate across platforms and processes makes procurement orchestration an essential tool in modern businesses. Focusing on improving intake-to-pay and supply chain procurement is critical for establishing a solid foundation. “Bringing the best of generative AI as an ingredient, not the solution but an ingredient, is a fantastic opportunity, and we’re already seeing it.”

The Power of Systems in Business
At the heart of ConvergentIS’s success is the principle of building systems that are scalable, efficient, and valuable to other organizations. Frustration with certain system integrators led us to start ConvergentIS with a clear goal: if the company builds a system that could be beneficial to others, we will make it available. This philosophy has allowed ConvergentIS to create workflows and apps that not only serve clients but also help other organizations streamline their operations.
In an era where many companies are overwhelmed by complex software that adds unnecessary layers to their operations, a simple approach offers a refreshing alternative: systems that work efficiently, comply with regulations, and allow businesses to focus on what they do best.
Leveraging AI for Business Growth
The future of AI in procurement lies in its ability to create repeatability, consistency, and certainty in business operations. AI isn’t about eliminating jobs; it’s about automating the right tasks so that people can focus on creative thinking, relationship building, and the imagineering of what could be. The discussion emphasized the importance of applying technology not just for the sake of automation but for the right reasons—to enhance efficiency and support strategic business goals.
When implemented effectively, procurement orchestration and AI solutions can optimize supply chains, reduce costs, and streamline operations across departments. Businesses that embrace these tools will find themselves well-positioned for future growth and resilience.
Building Systems for Consistency and Lean Processes
The conversation also touched on the fundamental principles of lean and Six Sigma, particularly the importance of building systems that deliver consistent results with minimal waste. Businesses that run well don’t rely solely on people; they rely on systems that consistently deliver what’s needed.
A good example is Ford versus Mazda’s approach to procurement processes in the 1990s. While Ford was attempting to match every item meticulously in a three-way matching process, Mazda took a simpler approach: one car equals one windshield, and they would pay their suppliers accordingly. This simplicity in design and execution made Mazda’s procurement process much more efficient and less cumbersome than Ford’s.
Embrace AI and Orchestration for Future-Proof Procurement Success
In business, simplicity is powerful. By building systems that are lean, efficient, and compliant, companies can ensure their operations run smoothly while freeing up their human employees to focus on creative, high-level tasks. Procurement orchestration and AI, when integrated effectively, offer businesses a unique opportunity to streamline processes, reduce errors, and enhance productivity. As AI continues to shape the future of procurement and supply chain management, companies that embrace these changes will be better equipped to succeed.
